Responsibilities

Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
Handle multi-line phone systems efficiently, taking messages and transferring calls as needed.
Perform data entry tasks accurately using spreadsheets and productivity software like Microsoft Office and Word processing tools.
Maintain organized records through filing, proofreading documents, and managing office supplies inventory.
Support office management activities including calendar management, appointment scheduling, and coordinating meetings.
Assist with client communication and customer support to ensure excellent service delivery.
Utilize computer skills to update databases, prepare reports, and perform general clerical duties in a timely manner.

Experience

Previous office experience or administrative support roles demonstrating strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data management.
Experience with QuickBooks or similar accounting software is a plus.
Bilingual abilities are highly desirable to assist diverse client needs.
Strong typing skills with attention to detail for proofreading and document accuracy.
Knowledge of multi-line phone systems and phone etiquette to handle inquiries professionally.
Experience in medical receptionist duties or personal assistant roles will be considered advantageous.
