Full Job Description

CEO Executive Administrative AssistantJob Overview

We are seeking a highly organized, proactive, and detail-oriented CEO Executive Administrative Assistant to provide high-level administrative and operational support to the CEO and executive leadership team.

This position is responsible for managing the CEO’s calendar and communications, tracking executive action items, coordinating projects and meetings, preparing reports and presentations, and ensuring timely follow-up with senior leaders, vendors, and other key stakeholders.

The ideal candidate is a confident professional who can manage competing priorities, handle confidential information with discretion, communicate effectively, and anticipate the needs of the CEO in a fast-paced environment.

Key Responsibilities

1. Executive Action-Item Management

Maintain and monitor an executive action-item tracker.
Follow up with CFO, Controller, MAPs, VP of Business Development, corporate staff, dealership leaders, and vendors.
Ensure deadlines, commitments, and follow-ups are completed on time.
Identify outstanding items and escalate issues when necessary.

2. CEO Calendar & Time Management

Manage the CEO’s calendar, meetings, appointments, and travel using Microsoft Outlook and related productivity tools.
Prioritize requests for the CEO’s time from executives, bankers, attorneys, vendors, customers, and other stakeholders.
Minimize scheduling conflicts and missed handoffs.
Ensure important communications receive timely responses.

3. Executive Communications

Draft and proofread emails, announcements, memos, correspondence, and presentations.
Prepare meeting agendas, notes, and executive summaries.
Draft follow-up communications on behalf of the CEO while maintaining the CEO’s communication style and voice.
Coordinate communication between the CEO, executive leadership, dealerships, and corporate teams.

4. Executive Reporting & Dashboards

Ensure required reports are completed and presented to the CEO on schedule.
Manage special reports through dealer operations software.
Review executive summaries for accuracy, completeness, and clarity.
Distribute and track CEO notes and follow-up items resulting from reports and meetings.

5. Leadership & Stakeholder Coordination

Coordinate communication and follow-up with senior leadership and key external stakeholders.
Manage requests and ensure appropriate handoffs between departments.
Support relationships with financial institutions, attorneys, vendors, customers, and other business partners.
Maintain a high level of professionalism and responsiveness at all times.

6. Contests, Incentives & Executive Trips

Track individual and team results for MAG contests and incentive programs.
Communicate results and updates to appropriate personnel.
Coordinate contest and incentive logistics.
Assist with planning and coordinating executive and employee trips.

7. Executive Office Administration

Maintain an organized, professional, and well-stocked executive office.
Coordinate office needs with janitorial and support teams.
Ensure confidential documents are properly handled and disposed of.
Maintain records, files, and executive documentation.
Ensure office displays and memorabilia are properly maintained.

8. Executive Processes & Confidential Information

Maintain and continuously improve the MEOS Manual and executive administrative procedures.
Manage recurring executive processes, including financial statements, performance reviews, FABS, inventory management, and other reporting requirements.
Maintain strict confidentiality regarding financial, personnel, customer, and business information.
Coordinate effectively with the CEO’s Personal Assistant and other administrative personnel.

9. Meetings, Events & Projects

Plan and coordinate executive meetings, company events, conferences, and business activities.
Prepare agendas, materials, logistics, and follow-up documentation.
Track project deadlines and deliverables.
Collaborate with cross-functional teams to ensure projects remain on schedule.

10. Administrative & Operational Support

Prepare, proofread, transcribe, and organize business documents and presentations.
Manage filing systems, correspondence, phone communications, and other administrative functions.
Assist with basic financial and data-entry tasks, including QuickBooks when needed.
Provide general administrative support to ensure efficient executive operations.

Qualifications & Skills

Proven experience supporting a CEO, President, C-suite executive, or senior leadership team.
Exceptional organizational and time-management skills.
Ability to manage multiple priorities while maintaining accuracy and attention to detail.
Excellent written and verbal communication skills.
Strong proficiency in Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.
Experience with Zoom, Microsoft Teams, and other business productivity tools.
Strong calendar management, scheduling, and business travel coordination skills.
Professional phone etiquette and strong interpersonal skills.
Ability to handle highly confidential information with discretion and integrity.
Strong follow-up and accountability skills.
Experience coordinating meetings, events, projects, and executive-level communications.
Ability to work independently, anticipate needs, and take initiative.
Familiarity with QuickBooks or other accounting software is a plus.
Experience in automotive retail, dealership operations, or a multi-location business environment is preferred.
