Experienced Medical Spa Patient Liaison & Front Desk Coordinator

Location: Tribe Med Spa – Lutz, Florida
Schedule Requirement: Must be available to work rotating Saturdays.

Tribe Med Spa is seeking an experienced, outgoing, and highly personable Patient Liaison & Front Desk Coordinatorfor our Lutz location.

This person will be the face and voice of our practice. We are looking for someone naturally bubbly, positive, polished, and passionate about creating an exceptional experience for every patient. You should enjoy talking with people, building relationships, and making patients feel welcomed from their first phone call through the completion of their visit.

Responsibilities

Greet every patient with genuine enthusiasm, warmth, and a welcoming smile.
Answer every phone call promptly with a friendly, upbeat tone—patients should be able to “hear the smile” in your voice.
Respond professionally and promptly to calls, texts, emails, and online inquiries.
Schedule and confirm appointments while maximizing provider schedules.
Educate patients about services, memberships, skincare products, promotions, and treatment options.
Confidently convert inquiries into scheduled appointments.
Assist patients with selecting services based on their goals and provider recommendations.
Build lasting patient relationships and provide personalized service.
Check patients in and out while maintaining an efficient, seamless flow.
Collect payments and accurately process transactions and financing.
Assist with retail product, membership, and treatment-package sales.
Maintain a clean, polished, and organized front desk and reception area.
Support providers and team members throughout the day.
Follow up with leads, missed calls, and patients who have not yet booked.
Help the practice meet monthly booking, membership, retail, and sales goals.
Remain friendly, professional, and composed during busy or challenging situations.
Anticipate patient needs and take initiative without needing constant direction.

Qualifications

Previous medical spa, aesthetics, plastic surgery, dermatology, cosmetic dental, or luxury wellness experience strongly preferred.
Exceptional customer service and communication skills.
Naturally bubbly, outgoing, warm, and comfortable speaking with patients.
Previous sales experience and confidence discussing services, memberships, and treatment packages.
Professional and polished appearance.
Strong organizational skills and attention to detail.
Ability to multitask in a fast-paced environment.
Comfortable learning scheduling and electronic medical record systems.
Aesthetic Record experience is a plus.
Reliable transportation and consistent attendance.
Availability to work rotating Saturdays is required and non-negotiable.
