Position Summary
The Director of Fleet & Facilities Maintenance provides strategic and operational leadership for the Company's fleet maintenance and facilities operations across multiple locations. This exempt position is responsible for directing maintenance operations, administering departmental budgets, ensuring regulatory compliance, optimizing fleet performance, maintaining Company facilities, and developing high-performing maintenance teams. The Director establishes maintenance standards, drives continuous improvement initiatives, and partners with Operations, Safety, Human Resources, and executive leadership to ensure safe, reliable, and cost-effective transportation services.
Fleet Maintenance Leadership
- Direct and oversee fleet maintenance operations across multiple maintenance facilities.
- Develop, implement, and administer Company-wide preventive maintenance programs, maintenance standards, operating procedures, and quality assurance processes.
- Analyze fleet performance metrics and implement operational strategies to improve fleet reliability, maximize vehicle availability, reduce downtime, and minimize road calls.
- Direct preventive maintenance scheduling, inspections, warranty administration, major component replacements, and equipment lifecycle management.
- Establish maintenance documentation standards and ensure complete, accurate, and audit-ready maintenance records utilizing Fleetio or comparable fleet maintenance management software.
- Develop quality control procedures to ensure maintenance work meets Company standards, manufacturer specifications, and regulatory requirements.
Facilities Management
- Direct the maintenance, repair, and improvement of Company facilities, including maintenance shops, terminals, fueling facilities, parking areas, buildings, utilities, security systems, and grounds.
- Oversee facility maintenance programs, capital improvement projects, contractor performance, and preventive maintenance activities.
- Ensure facilities are maintained in compliance with OSHA, environmental, fire, and applicable regulatory requirements.
Budget & Financial Management
- Develop, administer, and monitor departmental operating and capital budgets.
- Analyze maintenance expenditures, cost per mile, technician productivity, labor utilization, and operating costs.
- Approve major repair expenditures, capital purchases, and maintenance-related contracts within delegated authority.
- Identify cost-saving opportunities while maintaining fleet reliability, safety, and service quality.
Inventory, Purchasing & Vendor Management
- Direct Company-wide parts purchasing, inventory management, warranty administration, and procurement activities.
- Develop strategic vendor partnerships and negotiate pricing, contracts, and service agreements.
- Monitor vendor performance, warranty recovery, inventory accuracy, core return programs, and purchasing effectiveness.
- Implement inventory control procedures that ensure parts availability while minimizing excess inventory.
Leadership & Staff Development
- Provide leadership, coaching, mentoring, and performance management to Maintenance Managers, Fleet Maintenance Supervisors, Service Writers, Parts Managers, Facilities Personnel, and Fleet Support Staff.
- Develop departmental goals, staffing plans, succession planning strategies, and employee development programs.
- Direct recruiting, interviewing, hiring, onboarding, performance evaluations, corrective action, and employee development.
- Foster a culture of accountability, safety, teamwork, operational excellence, and continuous improvement.
Regulatory Compliance
- Develop and administer maintenance compliance programs that ensure compliance with applicable CHP BIT, FMCSA, DOT, OSHA, EPA, CARB, manufacturer, and Company maintenance requirements.
- Direct regulatory inspections, audits, corrective action plans, and compliance initiatives.
- Monitor changes in regulatory requirements and implement operational improvements and policy revisions as necessary.
Asset Management & Continuous Improvement
- Develop long-term fleet replacement strategies and capital equipment recommendations.
- Analyze lifecycle costs, maintenance trends, technician productivity, fleet performance, and key operational metrics.
- Lead continuous improvement initiatives that improve maintenance quality, operational efficiency, fleet availability, and customer service.
- Evaluate and implement maintenance technologies, fleet management systems, and best practices to improve operational performance.
- Develop long-term fleet replacement strategies, capital improvement plans, and asset management initiatives that support organizational objectives and long-range financial planning.

Minimum Qualifications
- Seven (7) years of progressively responsible fleet maintenance leadership experience.
- Minimum three (3) years leading maintenance managers or supervisors.
- Experience managing heavy-duty diesel fleet maintenance operations.
- Multi-location fleet maintenance leadership experience preferred.
- Passenger transportation, school bus, transit, motorcoach, or commercial fleet experience preferred.
Education
Bachelor's degree in Fleet Management, Business Administration, Transportation Management, Automotive Technology, Engineering, or a closely related field, or an equivalent combination of education, technical training, professional certifications, and progressively responsible fleet maintenance leadership experience.

Knowledge, Skills & Abilities
- Extensive knowledge of heavy-duty fleet maintenance operations, preventive maintenance programs, fleet asset management, and facilities management.
- Demonstrated experience leading multi-location fleet maintenance operations.
- Advanced knowledge of Fleetio or comparable fleet maintenance management systems.
- Advanced proficiency with Google Workspace, including Google Sheets, dashboards, KPI reporting, pivot tables, formulas, operational analytics, and executive reporting.
- Thorough understanding of CHP BIT, FMCSA, DOT, OSHA, EPA, CARB, manufacturer maintenance requirements, and regulatory compliance.
- Strong knowledge of budgeting, purchasing, inventory management, warranty administration, contract administration, and vendor management.
- Demonstrated ability to analyze operational trends, improve fleet reliability, and exercise sound independent judgment.
- Excellent leadership, coaching, communication, organizational, project management, and decision-making skills.
- This position is expected to exercise independent judgment and discretion in managing departmental operations and is accountable for achieving organizational objectives through the effective direction of personnel, financial resources, and operational processes.

Physical Requirements
