Full Job Description

Position Summary

The Grants Distribution Specialist is responsible for the accurate, timely, and compliant processing of grant distributions from donor advised funds to qualified charitable organizations. This role supports grantmaking operations by ensuring adherence to regulatory requirements, maintaining detailed records, and providing responsive service to donors and financial advisors. The position requires strong attention to detail, data accuracy, and the ability to balance compliance with a service-oriented approach.

Essential Duties and Responsibilities

Vet charitable organizations to confirm eligibility and compliance with IRS regulations and donor advised fund requirements.
Review grant recommendations for accuracy, completeness, and compliance prior to processing.
Prepare and process grant distributions, ensuring accuracy in amounts, timing, and delivery methods.
Maintain detailed and accurate records of all grant activity to support compliance, audit readiness, and reporting requirements.
Identify and escalate grant requests requiring additional review, clarification, or approval.
Communicate with donors and financial advisors to address grant-related inquiries, provide updates, and clarify requirements.
Draft professional, accurate correspondence using established templates to explain eligibility, compliance requirements, and next steps.
Maintain and reconcile grant tracking data within spreadsheets and internal systems, ensuring consistency and accuracy across records.
Support reporting, audit activities, and data validation efforts, identifying discrepancies and contributing to resolution.
Collaborate with internal teams.
Identify opportunities to improve workflows, templates, documentation quality, and internal controls to enhance efficiency and accuracy.
Perform other duties as assigned.

Minimum Qualifications

High school diploma or equivalent required; associate or bachelor’s degree preferred.
1–3 years of experience in financial operations, grant processing, nonprofit administration, or a related field.
Basic proficiency in Microsoft Excel; ability to organize, track, and validate data
Strong attention to detail with a high degree of accuracy in data entry and documentation.
Excellent written and verbal communication skills, particularly in professional email correspondence.
Strong organizational and time-management skills with the ability to manage multiple priorities.
Ability to exercise sound judgment and maintain confidentiality of sensitive donor and financial information.
Ability to work both independently and collaboratively in a team-oriented environment.

Physical Demands and Working Conditions

Primarily sedentary work in an office environment with frequent computer use.
Regular sitting, with occasional standing, reaching, and use of hands to operate office equipment.
Ability to lift and move up to 25 pounds occasionally.
May require extended hours during peak periods.
