As our agency continues to grow, we are seeking an experienced Home Care Operations Coordinator to become a key member of our leadership team. This position reports directly to the Owner/Administrator and plays a vital role in the day-to-day operations and growth of the agency.
Position Summary
The Home Care Operations Coordinator serves as the primary support to the Owner/Administrator and is responsible for coordinating daily operations, client admissions, caregiver scheduling, community outreach, and exceptional customer service.
This role combines office management with field responsibilities. The ideal candidate enjoys working with people, solving problems, building relationships, and helping a growing agency succeed.
Key ResponsibilitiesClient Services
- Serve as the first point of contact for prospective clients and their families.
- Conduct in-home client admissions and obtain all required intake paperwork, service agreements, and signatures.
- Explain agency services and answer questions from prospective clients.
- Maintain positive relationships with clients and families.
- Conduct client follow-up calls and satisfaction checks.
- Address client concerns and coordinate resolutions.
Caregiver Coordination
- Serve as the primary point of contact for caregivers.
- Coordinate caregiver schedules and assignments.
- Match caregivers with clients based on skills, availability, and client preferences.
- Manage schedule changes, call-offs, and staffing needs.
- Assist with caregiver onboarding and orientation.
- Maintain ongoing communication with field staff.
Office Operations
- Answer incoming phone calls and respond to inquiries professionally.
- Maintain accurate client and caregiver files.
- Ensure all employee documentation remains current.
- Assist with payroll preparation by verifying schedules and timesheets.
- Coordinate daily office activities and administrative tasks.
- Support agency compliance by maintaining organized records.
Community Outreach & Marketing
- Develop relationships with hospitals, rehabilitation centers, physician offices, assisted living communities, senior centers, social workers, case managers, Veterans organizations, churches, and other referral partners.
- Conduct weekly marketing visits throughout the community.
- Represent Angelic Hearts Home Care at networking events and health fairs.
- Assist with community outreach initiatives and referral development.
- Track marketing activities and referral sources.
QualificationsRequired
- Minimum of 1-2 years of experience in a home care agency or healthcare office.
- Previous caregiver scheduling experience.
- Experience with client admissions or intake paperwork.
- Excellent organizational and multitasking skills.
- Outstanding communication and customer service abilities.
- Strong problem-solving skills.
- Proficiency with Microsoft Office and Google Workspace.
- Valid driver's license and reliable transportation.
- Ability to travel throughout the local service area.
Preferred
- Experience using home care software such as AxisCare, CareSmartz360, WellSky, Swyftops, Homecare Pulse or similar platforms.
- Marketing or business development experience.
- Knowledge of Georgia home care regulations.
- Experience working with private pay, Veterans Affairs (VA), or long-term care clients.
