Executive Assistant –
We are seeking a highly organized, dependable, and motivated Executive Assistant to join our assisted living leadership team. This position is ideal for someone who enjoys staying busy, solving problems, working with people, and helping keep daily operations running smoothly.
The Executive Assistant will work closely with facility leadership and will play an important role in supporting our residents, families, employees, and administrative operations.
What You'll Do
- Provide daily administrative support to the Executive Director and leadership team
- Answer and direct phone calls, emails, and correspondence
- Prepare letters, reports, spreadsheets, forms, and other documents
- Maintain organized resident, employee, and administrative records
- Assist with new resident paperwork and the move-in process
- Communicate professionally with residents and family members
- Assist with employee onboarding and maintaining personnel files
- Help track employee credentials, training, and required documentation
- Assist with resident billing, statements, payments, and administrative financial records
- Coordinate appointments, meetings, vendors, and facility needs
- Assist with tours for prospective residents and families
- Help prepare for inspections, surveys, meetings, and audits
- Assist with facility events and special projects
- Follow up on assignments and help ensure important deadlines are met
- Provide additional administrative and operational support as needed

- Proficient with Microsoft Word, Excel, Outlook, and general office technology
Preferred Experience
- Previous Executive Assistant, Administrative Assistant, Office Manager, or similar experience
- Healthcare or senior living experience is preferred but not required
- Experience with billing, human resources, scheduling, or office operations is a plus

Job Type: Part-Time
Schedule: Monday–Friday, with flexibility as needed
Location: The Oaks by Windham
Pay: $13.00 - $15.00 per hour
