Summary

We are seeking a dependable Office Assistant with a focus on Accounts Payable for our Macon, Georgia office. This role is essential to the daily operation of our front desk and requires a high level of professionalism, responsiveness, and adaptability.

Important: This is a fast-paced front desk environment. The phones ring consistently throughout the day, and interruptions are frequent. The ideal candidate must be comfortable multitasking, shifting priorities quickly, and maintaining composure while managing competing demands.

Compensation will be based on experience and qualifications.

Responsibilities

Serve as the primary front desk representative, greeting clients and visitors in person and by phone in a professional and friendly manner
Answer and manage a high volume of incoming calls using a multi-line phone system throughout the day
Process Accounts Payable with accuracy, attention to detail, and confidentiality
Manage incoming and outgoing mail, including post office pickups, sorting, and distribution
Respond to client and vendor inquiries promptly and professionally
Maintain an organized and welcoming front desk and common areas
Support general office operations and administrative tasks as needed
Keep break areas clean, stocked, and presentable

Qualifications

Education: High school diploma required; associate degree preferred.
Experience: Minimum 2 years in a professional office setting (customer service or administrative support preferred)
Experience: Minimum 2 years of Accounts Payable/Accounts Receivable experience required
Experience: Prior experience in a high-call-volume or front desk environment strongly preferred

Skills:

Ability to work effectively in a fast-paced, interruption-driven environment
Strong organizational and time management skills
Detail-oriented with a commitment to accuracy and confidentiality
Professional communication and customer service skills
Proficiency in Microsoft Office and Adobe
Experience with multi-line phone systems is highly desirable
Dependable and team-oriented with a service mindset
