Maintenance Planner / Scheduler

Primary Objective
Plan, schedule, and coordinate all preventive, corrective, and predictive maintenance activities to maximize equipment reliability, food safety compliance, and production uptime while minimizing unplanned downtime.
Responsibilities and Duties
Maintenance Planning & Scheduling
- Lead weekly maintenance pre-scheduling meetings with Maintenance Leadership and Production Leadership
- Develop and publish the weekly maintenance schedule aligned with production plans and downtime windows
- Generate weekly preventive maintenance (PM) work orders for: Mixers, dividers, proofers, ovens, conveyors, packaging equipment, utilities including boilers, steam systems, compressors, and HVAC
- Generate weekend and downtime work orders for planned corrective and improvement work
- Coordinate weekly maintenance priorities with Production Planning
- Conduct post-PM and post-shutdown reviews to identify equipment findings and follow-up work
- Print and distribute daily scheduled work orders to maintenance technicians
- Plan labor hours, work sequencing, and resource leveling to support schedule compliance
Preventive Maintenance & Job Plan Development
- Ensure PM and corrective work orders contain complete and accurate job plans
- Develop and maintain job plans including:
- Job scope
- Estimated labor hours
- Required skills
- Tools and safety requirements
- Create and maintain job plans for high-repeat corrective work and critical bakery assets
- Develop and maintain SOPs for maintenance tasks lacking proper documentation
- Schedule planned work at least one week in advance whenever possible
Work Order Control & Backlog Management
- Review and approve new work requests daily
- Eliminate duplicate or non-value-added requests and return unclear requests for clarification
- Assign work order priorities based on:
- Food safety risk
- Safety impact
- Production impact
- Equipment criticality
- Maintain a controlled maintenance backlog categorized by safety, PM, reliability, and improvement
- Support or lead weekly backlog review meetings
- Adjust priorities based on production needs and equipment condition
Parts Coordination & Job Kitting
- Coordinate with parts/storeroom personnel to ensure work orders are properly kitted
- Identify long-lead and critical spare parts
- Create and submit maintenance part requisitions for planned work and reliability improvements
- Ensure parts are staged and available prior to scheduled maintenance windows
- Link parts usage to work orders for cost and failure analysis
OEM & Vendor Coordination
- Coordinate with OEMs and vendors for bakery equipment PMs, inspections, and upgrades
- Ensure OEM service reports include documentation, findings, and recommendations
- Verify OEM-generated work orders are properly entered, prioritized, planned, and scheduled in the CMMS
PM, Operator Basic Care (OBC), and Predictive Maintenance Integration
- Support updates to PM programs based on failure history and OEM recommendations
- Support Operator Basic Care (OBC) task development
- Integrate predictive maintenance findings (vibration, oil analysis, infrared, ultrasonic) into planned work
Work Order Close-Out & Data Quality
- Audit completed work orders for accuracy and completeness
- Ensure documentation includes work performed, parts used, labor hours, and follow-up actions
- Resolve discrepancies and close work orders in a timely manner within the CMMS
Equipment & Asset Management
- Maintain CMMS equipment and asset records
- Support reliability and capital planning through data analysis and failure history
Qualifications and Skills
- Minimum 2 years of maintenance planning and scheduling experience
OR
- Recent engineering graduate (Industrial, Mechanical, Electrical, or related field)
- Strong understanding of industrial maintenance practices and workflows
- Experience working with CMMS systems and work order management
- Knowledge of bakery or food manufacturing equipment preferred
- Strong organizational, analytical, and communication skills
- Ability to work cross-functionally with maintenance, production, and leadership teams
- High attention to detail and ability to manage multiple priorities
