Key Responsibilities
Agent Support & Transactions
· Serve as the primary resource for all agents — new home and resale — on contract questions, negotiation strategy, and day-to-day operational or transactional issues.
· Assist agents directly with negotiations on complex, high-value, or contested transactions.
· Ensure agents have reasonable access to broker guidance at all times, per Wis. Stat. § 452.132.
· Maintain working knowledge of home inventory, pricing, and market conditions across both divisions sufficient to advise agents effectively.
· Build and maintain relationships with agents and industry partners (title companies, lenders, inspectors, appraisers) to support smooth transactions.
· May originate and close personal real estate transactions in addition to brokerage duties, provided personal production does not conflict with or come at the expense of brokerage oversight responsibilities.
Compliance & Document Review
· Review all agency agreements, offers to purchase, leases, and other transaction documents and records submitted by agents, per Wis. Stat. § 452.132.
· Review trust account records related to each transaction prior to closing.
· Confirm agency disclosure has been provided to clients and customers on each transaction.
· Confirm REEB-approved forms are used and properly completed; notify the responsible agent of any errors for correction.
· Maintain and distribute the firm's written Operational Guidelines outlining policy and procedure for handling day to day operations for the agents.
· Notify agents where to find REEB rules on conduct and ethical practice.
· Maintain custody and safety of all transaction documents and records submitted to the firm using provided software.
· Ensure consistent transaction flow standards and file quality across both divisions.
· Ensure MLS compliance with assistance from the Office Coordinator.
Licensing & Risk Management
· Verify each agent holds a valid, active license before affiliation with the firm and at the start of each biennial licensure period (via the DSPS LicensE portal).
· Coordinate license renewals and track continuing education requirements for all applicable agents and staff.
· Monitor transactions for fair housing and anti-discrimination compliance.
· Serve as a resource on errors & omissions risk avoidance and help minimize the brokerage's legal exposure.
Commissions
· Review agent commission calculations against commission agreements and company policy.
· Approve and issue commission disbursements.
· Identify and resolve commission discrepancies or disputes.
Recruiting & Development
· Recruit producing agents for both the new home and resale divisions.
· Interview and evaluate candidates for production potential and fit with company values.
· Onboard new agents and provide ongoing training on contracts, compliance, negotiation, and company systems.
· Provide performance feedback and support formal performance evaluations.
Lead Management & Promotional Events
· Monitor incoming leads in the CRM database and assign or reassign them to the appropriate agent(s) when needed.
· Monitor agent follow-up on assigned leads within the CRM to ensure timely, consistent engagement.
· Coordinate staffing of open houses, model home tours, and other promotional or community events by New Home Sales agents; drive agent sign-up and participation.
· Use event participation and CRM engagement as tools to keep agents actively involved in the business and in promoting the firm.
Brokerage Operations
· Oversee vendor relationships, including technology providers, title partners, and office services.
· Assist with monitoring agent adoption of company systems and processes (CRM, Buildtopia).
· Serve as the central point of coordination for agent needs across both divisions.
· Lead and/or attend sales meetings, company meetings, trainings, and industry events as required.
· Conduct business in a professional and ethical manner consistent with Wisconsin license law and company values.
· Additional related duties as required.
Qualifications
- Must hold a valid, active State of Wisconsin Broker License in good standing with DSPS.
- Willing and eligible to be formally designated as Supervising Broker for the firm under Wis. Stat. § 452.132, with duties delegated in writing by the Broker of Record.
- 3–5+ years of residential real estate, new home sales, or brokerage experience.
- Previous leadership, supervisory, or team management experience required.
- Strong knowledge of MLS systems, real estate contracts, transaction processes, and Wisconsin real estate regulations.
- Sound judgment and ability to make timely, independent decisions consistent with company values and legal requirements.
- Strong communication skills with the ability to manage multiple transactions and competing priorities.
- Leads by example, with integrity, accountability, and professionalism.
- Ability to work independently as well as collaboratively with agents, staff, and ownership in a fast-paced environment.
Pay: $80,000.00 - $120,000.00 per year
