POSITION DESCRIPTION

TITLE: Administrative Assistant

REPORTS TO: Director and Assistant Director of Women, Infants, and Children (WIC)

CLASSIFICATION: PART TIME - Administrative/Clerical

POSITION SUMMARY:

The Administrative Assistant provides clerical support for the Urban League of Detroit & Southeastern Michigan’s (ULDSEM) WIC Department. This individual works under the immediate supervision and direction of the WIC Director and Assistant Director. Prepare and handle confidential communications and documents such as letters, memorandums, and reports. Schedule appointments, return emails and telephone calls, maintain files, etc. Must be confidential and maintain a confidential presence, be able to work independently and be flexible with regards to work assignments. Must be able to multi-task as needed within departments of the organization.

SUMMARY OF RESPONSIBILITIES:

Provide administrative and professional support by staffing the front desk, greeting visitors, and responding to basic inquiries about the agency.
Type documents, letters and memorandums, answer the telephone and direct incoming calls to the appropriate individuals and/or departments, return calls, schedule appointments and maintain confidential files.
Draft correspondences, memorandums and various notices for the WIC Director/Assistant Director review, approval and signature.
Prepare various business-related memorandums, letters, and interoffice requests, etc. Assist with the preparation of outgoing mail.
Assist with the recruitment of WIC clients and making WIC appointment reminder calls.
Disseminate information regarding various ULDSEM programs and services.
Maintain a filing system.
Prepare purchase requisitions for necessary WIC program supplies.
Assist with agency special events as needed.
Prepare client letters, cards and other related materials.
Operate office equipment, including copier, fax machine, printer, computer, use computer software applications and email as required.
May be required to perform various other related duties and assignments in order to meet agency deadlines and objectives.

EXPERIENCE/QUALIFICATIONS:

Must have at least one (1) year experience working as an administrative assistant or related support person; be proficient with Microsoft Word, Excel, email (Office 365); ability to draft routine, legible correspondences with minimum grammatical errors. Successful candidate must also possess exceptional oral and written communication skills and demonstrate a very positive and professional demeanor. Must have excellent time management skills and the ability to multi-task and complete work with minimal supervision.

EDUCATION: Must have a high school degree or equivalent; college graduate desired.

OTHER CONSIDERATIONS:

References and documentation of professionalism, reliability of good attendance and work performance must be validated.
Must have sensitivity to the work of the Urban League and its mission, commitment to community services and non-profit organizations.
Salary will be commensurate with work experience and the agency’s budget.
Work away from the office is very minimum, however, successful candidate must have reliable transportation.

WORK ENVIRONMENT: Works in a temperature-controlled office environment. Infrequent travel (up to 10% of work time) required to various meetings with exposure to road hazards and temperature extremes

Pay: $20.00 - $22.00 per hour

Education:

High school or equivalent (Required)

Experience:

Microsoft Office: 1 year (Required)
Administrative Assistants & Receptionists: 1 year (Preferred)
