Clinic Coordinator – ANEU Med Spa

We are a locally owned medical spa with locations in McFarland and Madison, WI. We are looking for another Clinic Coordinator who is passionate about this industry to join our team! This person will play an integral role in ensuring all aspects of the "front of house" run smoothly and efficiently. They will be a key liaison between our clients and employees thus contributing to the overall continued success of our company.

Education and Experience

Minimum 1-year experience working in professional office environment
Minimum 1 - year experience of excellent customer service
Experience in a cosmetic medicine clinic is preferred
High School Diploma

Essential Skills and Abilities:

Excellent written and verbal communication skills
Ability to multi-task and stay on task with regular interruptions
Good problem solving and analytical skills
Possesses wide-ranging knowledge of injectable services, skin and laser services, and skin care products to educate clients or the desire to learn this
Ability to work as a team member
Well-organized with high attention to detail
Ability to manage multiple projects simultaneously
Treats patients and co-workers with respect
Empathetic with patients’ needs and concerns
High level of interpersonal skills
Proficient with computer skills - preferred medical charting experience - ability to navigate numerous product ordering sites, Nextech medical charting, and various other general computer programs

Responsibilities:

Primary Focus:

After completing Clinic Coordinator training, you must be able to work with minimal supervision, expected to coordinate daily operations independently.
The client is the #1 priority and ensuring the client has an excellent experience from check-in to check-out
Efficient utilization of all software programs. Able to work quickly between multiple programs. (Nextech, Office, Google Suite, Alle, Aspire, etc.)
Checking clients in and out for their appointments. Assisting them with scheduling future appointments.
Answering phones and website inquiry forms from existing and potential clients.
Processing cash, and credit card transactions. Balancing the cash drawer at the beginning and end of each shift.
Highly versed in all of our services and treatments to effectively educate clients on what we offer and what might be best for them - but always referring to providers making the final decision
Continual communication and follow-up with providers on patient updates, requests, appointment changes, etc.
Ability to assist clients with basic skincare needs or refer to providers for guidance on skincare treatment plans
Following up on client experiences to ensure client retention

Secondary Focus:

Inventory Management including placing orders, checking in inventory, stocking properly & reconciling monthly inventory reports
Scheduling staff trainings and meetings, etc.
Participating and attending in-service educational programs, staff meetings, and clinic events.
Ensuring cleanliness/tidiness of reception area and other patient facing areas to maintain pristine client and work environment
Assisting with laundry as needed

Schedule

40 hours/week ( Full time)
Monday – Friday to include a combination of opening (7am/9am) mid (10-6) and clinic closing shifts (7pm/8pm)
Must be able to work at both out Madison and McFarland locations
Option of 4-day work week after training!
No weekends or holidays!

***Occasional flexibility is appreciated if available to cover other clinic coordinators time off, appts, etc.
