Program Coordinator/ Program manager

Ability Solutions Inc. – Serving Dane County, WI

Position Type: Full-Time
Pay: Based on Experience

About Ability Solutions

Ability Solutions is a small, growing organization that provides Adult Day Services and Supported Employment services throughout Dane County. We support adults with disabilities in achieving greater independence, community involvement, and employment success. We are seeking an organized, dependable, and compassionate Program Coordinator to assist with the daily operations of our programs and help ensure quality services for the individuals we support.

Position Summary

The Program Coordinator is responsible for coordinating daily operations of Adult Day Services and Supported Employment programs. This role combines administrative responsibilities, staff scheduling, participant support, recruiting, case management, and direct service coverage when needed.

As a small business, we are looking for someone who is flexible, takes initiative, and is willing to assist wherever needed to support participants, staff, families, and community partners.

Program Operations

Assist with the daily operations of Adult Day Services and Supported Employment programs.
Open and close the center as assigned, ensuring the facility is safe, organized, and ready for daily activities.
Maintain participant schedules and staffing assignments.
Monitor daily attendance and staffing coverage.
Coordinate community activities, transportation, and participant supports.
Maintain knowledge of participant schedules, goals, and support needs.
Step in to provide direct support, job coaching, transportation, or supervision when staffing shortages occur.
Ensure the center remains clean, organized, and welcoming.
Assist with implementing agency policies and procedures.

Staff Scheduling & Support

Create and maintain staff schedules.
Coordinate schedule changes and coverage requests.
Support staff training and cross-training efforts.
Communicate daily schedule updates and participant needs to staff.
Assist with staff supervision and performance monitoring.

Human Resources & Recruitment

Post job openings on Indeed and other recruitment platforms.
Screen applicants and schedule interviews.
Participate in interviewing and onboarding new employees.
Maintain employee files and training records.
Assist with recruiting and retention efforts.

Client Case Management

Communicate regularly with guardians, families, case managers, IRIS consultants, DVR counselors, and other support team members.
Assist with participant intake and orientation.
Monitor participant goals and progress.
Address concerns and help resolve service-related issues.
Maintain participant records and documentation.

Supported Employment Services

Support job coaches and employment staff.
Assist with community-based employment supports when needed.
Communicate with employers regarding participant schedules and support needs.
Complete employment-related documentation and reports.

Administrative Duties

Maintain participant and employee files.
Complete reports, scheduling updates, and required documentation.
Track participant attendance and service utilization.
Assist with compliance and quality assurance activities.
Utilize Microsoft Office, Google Workspace, and electronic documentation systems.

Qualifications

Experience working in Adult Day Services, Supported Employment, Vocational Services, or disability services preferred.
Previous scheduling, coordination, or supervisory experience preferred.
Strong organizational and time-management skills.
Excellent verbal and written communication skills.
Ability to manage multiple priorities in a fast-paced environment.
Ability to work independently and as part of a team.
Experience working with individuals with developmental and intellectual disabilities preferred.

Requirements

Valid Wisconsin driver's license.
Reliable transportation and willingness to travel throughout Dane County.
Ability to pass caregiver and background checks.
Strong computer skills, including Microsoft Office, Google Workspace, email, and scheduling software.
Ability to provide direct support and job coaching when necessary.
Ability to effectively communicate with participants, guardians, employers, and case management teams.
Ability to lift, assist, and support participants as required.
