The Communications & Events Associate (the Associate) supports annual fundraising, marketing, and event management efforts through a variety of communications channels as a member of the Annual Fund, Marketing, and Events Team. The Associate plays an important role in advancing the Foundation's strategic mission of securing private philanthropic support for the University of Maine.
Essential Functions

Design and manage the production of printed annual fund and marketing support materials, including letters, invitations, annual reports, newsletters, greeting cards, case statements, and other assigned print projects, using Adobe Creative Suite and established project tracking systems.

Coordinate email communications by:
- Creating templates and content.

Generating reports as needed.

Coordinating the Annual Fund email stream.

Monitoring bounce reports and contacting constituents with incorrect or missing email addresses via postcard to request updated information.
- Coordinate social media communications by:
- Regularly creating and posting content for Philanthropy Friday across multiple platforms, including Facebook, LinkedIn, and Instagram.

Developing and posting special content and updates for Giving Days and other promotional campaigns.

Posting sponsored content.
- Manage the Foundation website by:
- Maintaining site consistency and ensuring compliance with branding, style, and ADA accessibility guidelines.

Posting and updating website news and information.

Installing, updating, and maintaining plugins and software as needed.

Monitoring website activity and preparing reports as needed.
- Provide event support as needed by:
- Managing RSVPs received via phone and email.

Coordinating and staffing the registration table.

Organizing event supplies and decor before, during, and after events.

Assisting with event setup and teardown.
- Capture and edit video footage, photographs, and still images; maintain and organize the Foundation's photo/video database and related equipment.

Transport and move event and audio/visual materials and equipment as needed; the ability to lift and carry up to 50 pounds is required.

Proofread and review projects to ensure accuracy, consistency, and quality.

Print, assemble, and prepare materials for small in-house projects as needed.

Enhance knowledge and professional expertise by participating in training and development opportunities relevant to assigned responsibilities.
Supervisory Responsibility
The Associate has no direct supervisory responsibilities; however, on occasion, may direct the work of staff and event volunteers.
Work Schedule
The typical work schedule for this role is Monday through Friday, 8:00 a.m. to 5:00 p.m. However, additional hours, including evenings and weekends, may be necessary to meet the position's requirements.
Office Presence
The Associate will be required to work on-site full-time during the onboarding period. Following onboarding, the role will require regular on-site presence with the potential for limited remote work during the week.

Bachelor's degree and at least two years of previous experience in communications, journalism, public relations, marketing, or a related field; or an equivalent combination of education and experience.

Exceptional writing, editing, and proofreading skills, with strong attention to detail.

Experience with website content management systems (CMS), website design, social media management tools, and digital, print, and email marketing platforms.

Proficiency in design and publishing software, preferably within Adobe Creative Suite, including InDesign and Photoshop.

Proficiency with Microsoft Office and Google Workspace applications.

Demonstrated ability to develop and execute communications strategies that align with organizational goals, mission, and values.

Experience with GiveCampus, Salesforce, or Ascend preferred.

Experience working in a higher education or non-profit environment preferred.
Technical Requirements
The Associate must have and maintain a personal mobile device capable of supporting Foundation-required applications, including, but not limited to, multi-factor authentication (MFA), PIN-protected applications, and other security-related tools deemed necessary by the Foundation. Personal devices must also meet the Foundation's minimum technical specifications, including iOS, Android, or Windows operating systems that support current security updates and patches.
Travel Requirements
This position may require occasional local, statewide, and domestic travel, including travel using a personal vehicle. The Associate must possess a valid driver's license.
