Full Job Description

Job Overview

We Thrive LLC is actively seeking a reliable, self-driven, organized and detail-oriented Administrative Specialist to support daily office and agency operations. This role is ideal for someone who thrives in a fast-paced environment and enjoys being the first point of contact for clients and visitors, ensuring a seamless customer service experience by managing the front desk operations, coordinating appointments, and facilitating communication between clients, providers and management. Someone who is has positive attitude to life, compassionate. A previous healthcare and customer service experience is preferred.

Responsibilities

Greet patients warmly and manage front desk operations efficiently.
Manage front desk duties such as responding to phone and email, handle inquiries and queries efficiently using excellent communication skills.
Prepare and extend job offers; manage background checks and pre-employment requirements
Partner with hiring managers to identify staffing needs and manage full-cycle recruitment
Coordinate and facilitate new-hire onboarding and orientation for employees
Perform data entry, maintain accurate filing systems, and organize documents
Maintain accurate recruitment and onboarding records and metrics
Ensure compliance with federal, state, and local employment laws and company policies
Maintain compliant personnel files and I-9 documentation
Provide customer service support by addressing client questions promptly and professionally, ensuring a positive experience.
Handle clerical tasks including managing correspondence, maintaining equipment, and tracking office supplies inventory.
Order all office supplies, sort and distribute all mail, and maintain office common areas daily.
Assists in writing, editing and designing policy, training and communications materials on various topics for the agency
Assist with the planning of company events.
Handles confidential information with the utmost judgment and discretion
Make copy of documents and posters as needed.
Perform other related duties as assigned

Requirements:

Associates or Bachelor’s Degree required
Exceptional writing skills
Office experience or administrative experience demonstrating strong organizational skills, attention to detail, time management, abilities to prioritize tasks efficiently.
Proficiency in Microsoft Office, Outlook, Google, Excel, and Forms
Excellent computer literacy with the ability to learn new software quickly.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour

Expected hours: 40 per week

Work Location: Lewiston, ME, In person

Experience:

Minimum 1 year of front desk or receptionist experience
Minimum 1 year of customer service experience
1+ years recruiting experience required
1+ years in an HR Support or administrative role required
Experience collaborating with cross functional teams in order to develop related solutions or policies
Experience in a healthcare environment preferred
Vaccination records for Hepatitis B, Varicella, and MMR
