JOB DESCRIPTION:
The Associate Producer plays a vital role in supporting the successful planning, coordination, and execution of live, hybrid, and virtual events. Working alongside Producers and Senior Producers, this role helps ensure every project remains organized, on schedule, and executed with exceptional attention to detail.
Associate Producers coordinate production logistics, maintain project documentation, assist with vendor and client communications, support onsite event execution, and help keep cross-functional teams aligned throughout the production lifecycle. This position is designed for emerging production professionals who are developing the skills necessary to independently lead projects in the future.
Successful Associate Producers are proactive, highly organized, collaborative, and eager to learn. They take ownership of assigned responsibilities while gaining the experience needed to grow into a Producer role.
RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:
Project Coordination

Support Producers throughout the complete production lifecycle, from kickoff through post-event reconciliation.

Assist in developing and maintaining project schedules, timelines, milestones, and deliverables.

Track project action items and ensure follow-up with internal teams.

Maintain accurate project documentation, meeting notes, production files, and project records.

Help identify scheduling conflicts, logistical issues, and potential project risks.
Client Support

Participate in client meetings, production calls, and planning sessions.

Prepare meeting agendas, meeting notes, and follow-up communications.

Assist with client communications throughout the project lifecycle.

Help ensure client expectations, project requirements, and deliverables are clearly documented.

Support Producers in delivering an exceptional client experience.
Production Support

Coordinate production logistics including vendors, venues, talent, travel, shipping, and event materials.

Create and maintain production schedules, run of shows, crew call sheets, and production documentation.

Assist in advancing vendors and production partners before each event.

Support creative reviews and production deliverables across internal departments.

Coordinate project assets and information between Creative, Motion, Editing, Event Technology, and Production teams.
Financial and Administrative Support

Assist Producers with project budgets, estimates, purchase orders, and vendor invoices.

Track project expenses and assist with reconciliation.

Maintain organized project documentation and financial records.

Support post-event reporting and project closeout activities.
Event Execution

Support onsite production teams during live, hybrid, and virtual events.

Assist with managing speakers, talent, vendors, crew members, and production logistics.

Troubleshoot operational issues and escalate concerns when appropriate.

Ensure assigned production responsibilities are completed accurately and efficiently.

Contribute to a seamless onsite experience for both clients and attendees.
Team Collaboration

Collaborate closely with Producers, Senior Producers, Creative, Production, Event Technology, and external partners.

Participate in creative brainstorming sessions and production planning meetings.

Demonstrate initiative by identifying opportunities to improve processes and workflows.

Continuously develop production knowledge and leadership skills in preparation for increased project ownership.
REQUIRED SKILLS/EXPERIENCE:
-
2+ years of experience supporting corporate meetings, live events, multimedia productions, or project management.

Excellent organizational and time management skills.

Strong written, verbal, and interpersonal communication skills.

Ability to manage multiple priorities simultaneously in a fast-paced environment.

Strong attention to detail and follow-through.

Ability to work collaboratively across multiple teams.

Proficiency with Microsoft Office Suite.

Experience with Asana or similar project management software preferred.

Expected travel up to 25% depending on project requirements.

Flexibility to work evenings, weekends, and extended hours during productions.

Domestic and international travel as required.
PREFERRED SKILLS:

Experience working for a live event, experiential marketing, or production agency.

Familiarity with Salesforce.

Experience supporting live, hybrid, and virtual event productions.

Understanding of production scheduling, logistics, and vendor management.

Experience creating production documentation including run of shows and production schedules.
EDUCATION:
Bachelor's degree in Communications, Business, Event Management, Production, Liberal Arts, or equivalent combination of education and professional experience.
TIME COMMITMENT:
Monday through Friday. Office hours are 9:30 AM – 6:30 PM. Travel, evenings, weekends, and extended production hours are required based on event schedules.
