Overview

We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will possess strong organizational skills, technical proficiency, and a friendly demeanor to create a positive first impression for visitors and clients alike. This paid position offers an exciting opportunity to develop diverse office management skills while supporting daily operations with enthusiasm and professionalism.

Duties

Greet visitors, clients, and vendors warmly, ensuring a professional and friendly environment.
Manage multi-line phone systems, directing calls efficiently and courteously.
Handle data entry tasks using productivity software such as Microsoft Office, Google Workspace, and spreadsheets to maintain accurate records.
Schedule appointments, manage calendars, and coordinate meetings to optimize office productivity.
Maintain filing systems, process incoming and outgoing correspondence, and perform clerical tasks including proofreading and word processing.
Support office management activities such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software.
Assist with client communication via phone or email, providing excellent customer support and support for administrative inquiries.

Requirements

Proven experience in office management or administrative roles with strong clerical skills.
Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Exceptional phone etiquette with experience managing multi-line phone systems and providing customer support.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Previous experience as a medical receptionist or personal assistant is a plus but not required.
Knowledge of bookkeeping software such as QuickBooks is preferred for handling basic financial tasks.
Demonstrated ability to prioritize tasks efficiently with excellent time management skills.
