Full Job Description

Job Overview

We are seeking a warm, friendly and detail-oriented Mental Health Counseling Intake Coordinator/Admin Support to join our psychotherapy practice. In this vital role, you will serve as the primary point of contact for clients, managing client onboarding processes and providing essential administrative support to ensure smooth practice operations. Your energetic approach and excellent communication skills will help create a welcoming environment while maintaining high standards of confidentiality and compliance with HIPAA regulations. This position offers an exciting opportunity to contribute to client care coordination, streamline administrative workflows, and support the overall efficiency of our work environment.

Duties

Welcome new clients to the practice by answering calls, emails, and inquiries from clients, ensuring a positive first impression and guiding them through the intake process
Collect, verify, and document patient information accurately using electronic health records (EHR) and excel spreadsheets.
Help to match clients with therapists to optimize client/therapist fit
Maintain client confidentiality in accordance with health regulation policies and HIPAA standards
Support the practice owner with administrative tasks such as marketing tasks, communication to staff, ordering supplies, and office organization.
Discover and implement ways to optimize work flows in the practice.

Experience

Understanding of people of many backgrounds and mental health challenges.
Prior experience working in a healthcare setting is helpful but not required.
Proficiency in Google Suite is preferred
Knowledge of health regulation policies, including HIPAA compliance and confidentiality standards is helpful but not required
Familiarity with electronic health records (EHR/EHR) systems is helpful but not required
Strong customer service skills with the ability to communicate effectively via phone, email and client interactions is a must.
Demonstrated ability to handle sensitive information discreetly while maintaining accuracy in data entry and record keeping
