Front Desk Medical ReceptionistJob Overview

We are seeking an energetic and detail-oriented Front Desk Medical Receptionist to be the welcoming face of our multi-specialty medical clinic. In this vital role, you will manage front desk operations, provide exceptional patient care, and support administrative functions to ensure smooth daily operations across our various medical departments. Your positive attitude and organizational skills will help create a professional, efficient, and compassionate environment for patients, visitors, and our diverse team of healthcare providers. This position offers an exciting opportunity to develop your healthcare administration expertise while contributing to a dynamic, patient-focused clinic.

Responsibilities

Greet patients and visitors warmly, ensuring they feel welcomed, respected, and attended to promptly upon arrival.
Manage a multi-line phone system, efficiently triage calls, and route them to the appropriate medical specialties, providers, or clinical staff.
Handle complex scheduling, calendar management, and appointment coordination for multiple providers across different specialties.
Perform accurate data entry, including updating patient demographics, insurance information, and medical histories into the Electronic Medical Record (EMR) system.
Verify patient insurance eligibility, process specialty referrals, and efficiently collect co-pays or outstanding balances at the time of service.
Maintain highly organized and secure filing systems, both digital and physical, ensuring strict compliance with HIPAA regulations regarding patient privacy.
Provide excellent support by addressing patient inquiries regarding appointments, clinic policies, and general information via phone or email with professionalism and clarity.

Skills & Qualifications

Proven experience in medical office management, administrative support, or front desk roles with strong clerical skills.
Exceptional interpersonal skills combined with excellent phone etiquette, clear communication abilities, and a compassionate demeanor toward patients.
Proficiency in Electronic Medical Records (EMR/EHR) scheduling systems, as well as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
Technical proficiency with multi-line phone systems, data entry tools, and general office productivity software, maintaining high accuracy and typing speeds.
Knowledge of standard medical office procedures, including health insurance verification processes, medical terminology, and HIPAA privacy rules.
Strong organizational abilities with the capacity to prioritize and multitask efficiently in a fast-paced, multi-provider clinical environment.
Previous experience as a medical or dental receptionist is strongly preferred; relevant personal assistant or administrative experience is also beneficial.
