Full Job Description

File Origination Clerk / (Conflicts Check Clerk) Position Summary

The File Origination Clerk plays a key role in the firm's new matter intake process by working closely with PMT attorneys, staff, opposing counsel, and external contacts. This position is responsible for ensuring that all new matters are accurately and timely entered into the firm's case management system (ProLaw/Netdocs), conducting conflict checks, maintaining case records, and facilitating communication between internal and external parties.

The File Origination Clerk ensures that ProLaw/NetDocs is consistently updated so that accurate, current information is readily available to attorneys and staff while maintaining compliance with firm policies and procedures.

Classification: Non-Exempt
Pay Range: $23.00–$25.00 per hour
Reports To: File Origination Supervisor

Essential Duties and Responsibilities

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this position.

Review and process new matter assignment emails.
Perform conflict checks in accordance with firm policies and procedures.
Prepare and distribute matter acknowledgment emails.
Print, organize, review, scan, and electronically file case materials.
Open and establish new electronic case files in ProLaw.
Process and communicate updates to the firm's case management system, ensuring all information is accurate and complete.
Reassign matters to appropriate PMT personnel as needed.
Generate and distribute attorney and staff open case reports.

Advanced Responsibilities

As experience and proficiency develop, the File Origination Paralegal may also:

Contact opposing counsel to request extensions of time to answer.
Prepare Stipulations Extending Time to Answer.
Follow up to obtain executed stipulations.
Prepare representation letters to insured clients.
Draft Notices of Appearance.

Qualifications and Competencies

The ideal candidate will possess:

Excellent written and verbal communication skills.
Strong organizational skills and exceptional attention to detail.
Effective time management and the ability to prioritize multiple tasks.
Basic working knowledge of ProLaw or similar case management software.
Strong computer proficiency, including demonstrated experience with:
Microsoft Outlook
Microsoft Word
Microsoft Excel
Ability to learn new software and maintain accurate electronic records.

Work Environment

This position operates in a professional office environment and routinely uses standard office equipment, including:

Computers
Multi-line telephones
Printers and scanners
Photocopiers
Filing systems

Physical Requirements

This position is primarily sedentary and requires prolonged periods of sitting while working at a computer. Regular use of standard office equipment, including computers, telephones, printers, scanners, and copiers, is required.

Schedule

This is a full-time no-exempt, hybrid position. 3 days in-office & 2 days remote.

Regular Hours:

Monday through Friday
9:00 a.m. – 5:00 p.m.

Some flexibility in scheduling may be available based on business needs. Occasional evening or weekend work may be required.

This position is not fully remote and requires regular attendance in the office.

Travel

Occasional travel to other PMT office locations may be required.

Education and Experience

Bachelor's degree preferred; or
Five (5) or more years of related experience in a comparable role.
Experience with ProLaw and/or NetDocuments (NetDocs) is preferred but not required.
