Function of the Position
The CEO/Executive Director will oversee and manage the daily business operations of the association. The position will act in the interest of KCA and shall perform duties in an ethical and responsible manner. The position ensures compliance with all KCA Bylaws & Resolutions, and initiates directives as issued by the KCA Board of Directors.
Duties and Responsibilities
The following are the primary duties and responsibilities in a typical day as the CEO/Executive Director. This does not limit the overall scope of the position, and may change with the needs of management, the association, and with the skill set of the employee.
Act as the primary member services director: advocate on behalf of producers and their interests, research industry information such as grants, programs, etc. and ensure timely distribution to members; update and maintain membership database/ send out renewals and make customer service calls to members;
Act as industry liaison: represent KCA at industry events, stay informed of like-minded organizations’ events, promotions, and agendas; represent KCA on industry conference calls and at conventions and events, represent KCA at farm shows and host and lead membership meetings to discuss industry issues and gain support for KCA, communicate information to the Board of Directors, represent KCA in the press and act according to KCA policy;
Event coordinator: oversee major events including but not limited to the annual convention, review proposals and research venues and make recommendations to the Board of Directors, act as liaison with all speakers, ensure all staff are assisting vendors and sponsors, oversee set up, supervise support services, coordinate menus and food, choose the entertainment and create a program that represents the organization’s best interests;
Office administrator: data entry, perform any administrative duties as needed, make arrangements for monthly BOD meeting, prepare agenda and informational packets for all BOD members, type minutes from all meetings, attend monthly board meetings, communicate with KCA Board of Directors to ensure the mission of KCA is being achieved;
Act as marketing director: create marketing and promotional materials print, social media and web publication, maintain website, create vision for the future of the organization; promote KCA to gain support and membership, establish and maintain relationships with sponsors and vendors, call on membership for customer service, enhance corporate sponsorship program;
Financial Accountability: handle all financial transactions and record keeping, record all transactions, post debits and credits, produce financial statements, and prepare reports for Board of Directors, oversee and make bank deposits by compiling data, verify and balance receipts, pay bills, make purchases upon authorization, prepare and mail invoices, prepare and mail monthly advertising bills, keep track of overdue accounts and act accordingly; reconcile accounts and ensure staff accountability, work with treasurer to ensure association is accountable to its members, collect employees time cards, conduct payroll, pay monthly payroll liabilities, complete and submit all IRS, Sec of State, Dept. of Labor, and KS, Dept. of Revenue forms; review and submit payables and contracts for approval to the Board of Directors.
Act as public relations director, media representative and press secretary: write press releases, editorials and member alerts, contact radio stations and newspapers with press and news releases and create rapport to benefit association; write newsletter articles and summaries for membership publications, create paper layout;
Act as government relations liaison: Represent association as lobbyist in both state and national forums: communicate with legislators on KCA priorities, gain rapport with legislators, promote KCA agendas through written and oral communication with government agencies, research industry issues and advise Board and Executive Directors in conjunction with KCA policy;
Executive Level Professional Services: business development and implementation, provide senior level accounting services including providing oversight for accounts, conduct in-house audits with Board oversight to assure financial accuracy, expand SOPs, update and amend KCA business plan, KCA brand development and providing an overall vision for KCA.
Preferred Qualifications
- Bachelor’s degree in a relevant field.
- 3-5 years relevant education and experience
- Cattle Industry knowledge or background.
- Experience working in a nonprofit environment.
- Technology and office equipment knowledge including Microsoft Word, Excel, and PowerPoint, email and internet applications, QuickBooks, Adobe InDesign and Photoshop
- Excellent customer service social skills with ability to build relationships with stakeholders
- Ability to operate standard office equipment: phone, computer, printer, scanner, fax, projector, cameras/webcams, calculators/adding machines, cash registers, folding machines, etc.
- Must possess a valid driver’s license and reliable transportation with clean driving record.

- Be conscious of challenges unique to operating a non-profit corporation
- Self-directed, independent, with ability to multi-task.
- Effective written and verbal communication skills over all media including ability to create newsletter, marketing, and news releases.
- Possess initiative and drive to self-learn and expand knowledge/skill sets
- Experienced in conflict resolution with ability to facilitate resolutions.
- Ability to support, develop, and lead KCA paid staff as well as volunteers.
- Possess the ability to speak in front of large and small audiences, with or without audio and visual aids.
Working conditions/Physical Requirements
The position is located in a modern office environment. Travel throughout the state of Kansas is necessary with this position. Position requires ability to stand, sit, lift, and carry with or without accommodation. May require sitting at a desk for long periods of time. During special KCA events, position may be required to stand and walk and be on feet for extended periods of time.
Schedule
Executive Director is expected to work during office hours and be available to ensure the mission of KCA is fulfilled and that members can access staff. Evening and weekend hours will be required to fulfill the mission of the association and for events such as farm shows, cattlemen’s meetings, and conventions. Some day and overnight travel will be required.
