Community Behavioral Nursing Services
Fairlawn, OH
Full-Time | Monday–Friday | $25.00/hour

Community Behavioral Nursing Services, Inc. (CBNS) is looking for a Staffing Coordinator to join our Clinical Operations team. This is an office-based position responsible for coordinating schedules for our field nursing team and ensuring clients receive their visits as ordered.

The ideal candidate is organized, dependable, comfortable working in a fast-paced environment, and able to make sound decisions when staffing changes happen unexpectedly. Experience with healthcare scheduling, home health or staffing coordination is highly preferred.

What You'll Do

Build and maintain daily and weekly schedules for field nurses and clients.
Schedule visits according to each client's plan of care and required visit frequency.
Match staff to clients based on licensure, training, competency, availability, and continuity of care.
Manage daily call-offs, open shifts, and last-minute schedule changes.
Work quickly to find coverage when a scheduled nurse is unavailable.
Communicate schedule changes with nurses, clients, families, guardians, and residential providers.
Coordinate scheduling for new admissions, resumptions of care, discharges, recertifications, and supervisory visits.
Monitor open shifts and recurring staffing gaps and communicate concerns to clinical leadership.
Maintain accurate staff availability, time-off, and holiday coverage information.
Review schedules against client care plans and identify potential missed or under-scheduled visits.
Document cancellations, missed visits, access issues, and other significant scheduling changes.
Maintain accurate scheduling records and protect confidential client information in accordance with HIPAA.
Prepare scheduling and coverage reports for clinical leadership.
Work closely with Clinical Managers when a scheduling issue involves a client care or clinical concern.

Weekday On-Call Requirement

This position includes weekday evening on-call coverage. The Scheduler will be provided with an agency cell phone and will be responsible for responding to scheduling needs outside of normal business hours.

On-call hours are Monday–Friday, 4:30 PM–8:00 AM. There is no weekend on-call requirement.

During assigned on-call periods, responsibilities may include:

Responding to staffing call-offs and urgent scheduling needs.
Finding replacement coverage for open visits.
Communicating changes to affected staff, clients, families, and residential providers.
Escalating clinical concerns or client condition changes to the on-call Clinical Manager.
Documenting after-hours calls and actions taken.

All time spent actively working on after-hours calls is paid time and must be recorded. Overtime is paid when applicable.

What We're Looking For:

At least 2 years of scheduling experience.
Strong organizational and time-management skills.
Ability to manage multiple priorities and frequent interruptions.
Strong communication and customer service skills.
Comfortable using electronic health records, email, spreadsheets, and other computer-based systems.
Ability to remain calm and professional when dealing with last-minute staffing changes.
Valid Ohio driver's license, reliable transportation, and current auto insurance.
Ability to successfully complete required pre-employment background and health screening.

Preferred:

Healthcare scheduling or staffing experience.
Experience in home health, hospice, behavioral health, or a similar healthcare setting.
Experience working with Axxess or another home health electronic health record.
Familiarity with physician-ordered services, plans of care, or healthcare staffing requirements.
