Job Summary

We are seeking a highly organized and proactive Office Manager to oversee daily office operations and ensure a smooth workflow in the Resort-Style Homeowners Association. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with office management tools. This role requires a detail-oriented professional capable of managing multiple tasks, supporting staff, and providing exceptional customer service.

Responsibilities

Manage front desk operations, including greeting visitors and handling inquiries with professional phone etiquette
Oversee multi-line phone systems, scheduling appointments, and maintaining calendars using Google Workspace or Microsoft Office tools
Perform data entry, filing, and proofreading to ensure accurate record-keeping and document management
Utilize QuickBooks for basic bookkeeping tasks such as invoicing and expense tracking
Support administrative functions including typing correspondence, managing office supplies, and organizing files
Provide owner and guest support via phone, email, or in person to ensure client satisfaction
Coordinate office activities and assist with calendar management for team members
Maintain office organization and cleanliness to promote an efficient work environment
Assist with personal assistant duties as needed, including special projects

Qualifications

Proven experience in office management, clerical work, or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Familiarity with QuickBooks and basic bookkeeping practices is preferred
Excellent computer literacy and data entry skills with high accuracy and attention to detail
Strong customer service orientation with effective communication skills and professional phone etiquette
Bilingual abilities are advantageous for serving diverse clientele and team members
Experience working as a receptionist, personal assistant, or in office support roles is desirable
Ability to handle multiple tasks efficiently while maintaining professionalism under pressure
Prior experience with calendar management, proofreading, filing systems, and time management techniques
