Central Supply / Medical Records Coordinator

Job Summary

The Central Supply / Medical Records Coordinator is responsible for managing medical supply operations and maintaining accurate, organized, and confidential resident medical records. This position plays an essential role in supporting clinical and administrative teams by ensuring nursing departments have the necessary supplies and equipment while maintaining compliance with medical record documentation requirements.

Primary Responsibilities

Central Supply

Order, receive, inventory, and distribute medical and nursing supplies throughout the facility.
Maintain appropriate inventory levels while monitoring supply usage and controlling costs.
Stock nursing units and clinical departments with required supplies and equipment.
Monitor supply needs and communicate purchasing requests to leadership.
Ensure supplies are stored safely, organized, and maintained according to infection control and regulatory standards.
Coordinate equipment maintenance, repairs, and replacements as needed.
Work with vendors to ensure timely delivery of supplies and resolve any discrepancies.
Maintain accurate supply records and assist with inventory audits.

Medical Records

Maintain the accuracy, security, and confidentiality of resident medical records.
Collect, process, scan, file, retrieve, and distribute medical records according to facility policies and HIPAA regulations.
Process resident admission, transfer, and discharge documentation.
Obtain missing physician signatures, reports, laboratory results, diagnostic testing, and other required documentation.
Organize and maintain medical records for audits, surveys, and regulatory compliance.
Maintain accurate resident demographic information.
Assist departments with medical record requests and documentation needs.
Ensure proper retention and disposal of medical records according to facility policy.

Qualifications

High school diploma or GED required; additional healthcare-related education preferred.
Active Certified Nursing Assistant (CNA) license required.
Previous experience in central supply, medical records, long-term care, or healthcare operations preferred.
Knowledge of medical terminology, electronic medical records (EMR), and documentation practices preferred.
Experience with Microsoft Office and healthcare systems preferred.
Excellent organizational, communication, and multitasking skills.
Strong attention to detail and ability to maintain confidentiality.
Ability to prioritize multiple responsibilities in a fast-paced healthcare environment.

Physical Requirements

Ability to sit, stand, walk, bend, and lift up to 30 pounds as needed.
Ability to travel between departments and throughout the facility.
Must be able to perform the essential functions of the position with or without reasonable accommodation.

Pay Range

$18 - $23 per hour
