Job Summary

The Prior Authorization Coordinator is responsible for facilitating, submitting, following up on, and managing the entire prior authorization process for interventional psychiatric treatments, including Spravato (esketamine), TMS, and Prism. This is a highly hands-on role requiring each prior authorization to be individually prepared, submitted, and tracked through CoverMyMeds and payer portals. Prior authorizations are not automated through our EMR, making accuracy, organization, and proactive follow-up essential to success.

This role works closely with our physicians, insurance companies, specialty pharmacies, and patients to ensure all required documentation is obtained, submitted correctly, and monitored through final determination so that treatment is never delayed by an administrative gap. The ideal candidate is detail-oriented, organized, and skilled at navigating payer requirements across both medical and pharmacy benefits. Strong communication skills are essential, as the Prior Authorization Coordinator collaborates closely with internal team members to resolve issues, communicate authorization status, and support a seamless patient experience.

Key Responsibilities

Prior Authorization Management

Initiate and complete prior authorization requests for treatments and medication services within 24 hours of note completion.
Follow up with insurance within 24 hours to confirm that a submitted authorization request has been received.
Track authorization expiration dates and initiate extensions at least two weeks in advance.
Develop and manage prior authorization processes for new treatments as services and insurance coverage evolve.

Spravato (Esketamine) & Specialty Treatment Coordination

Determine the correct benefit pathway for Spravato (medical vs. pharmacy benefit) for each payer and coordinate accordingly, including specialty pharmacy enrollment when dispensed under the pharmacy benefit or buy-and-bill workflows when covered under the medical benefit.
Compile and submit payer-required clinical documentation demonstrating treatment-resistant depression criteria (e.g., documented failure of two or more oral antidepressants with dosage and duration records) for Spravato and other interventional treatments.
Track Spravato reauthorization milestones across induction and maintenance phases and initiate renewals before approved session limits are exhausted.
Assist patients with manufacturer copay assistance and patient support program enrollment where eligible.

Documentation & Data Entry

Maintain and update patient records with authorization status, ensuring all data elements (CPT codes, diagnosis codes) are included.
Accurately document all interactions, approvals, and denials in patient records and tracking spreadsheets.
Ensure all required medical documentation is submitted with authorization requests.

Communication & Coordination

Serve as a liaison between healthcare providers, insurance companies, and patients.
Communicate effectively with medical staff to gather information needed for authorizations.
Notify providers of approval or denial decisions and explain next steps.
Review billing tasks and respond to tasks or call patients within 24 hours.

Compliance

Keep informed of changes in insurance policies, coding standards, REMS requirements, and regulatory guidelines.
Ensure all activities comply with HIPAA regulations and other relevant healthcare laws.

Qualifications

High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
Certification in Medical Billing and Coding (CPC, CBCS, or equivalent) is a plus.
Proven experience in medical billing, insurance claims, or revenue cycle management.
Direct experience with Spravato (esketamine) prior authorizations, REMS-regulated products, or specialty medication benefit investigations strongly preferred.
Proficiency in medical billing software (Athena experience a plus).
Strong understanding of insurance policies, EOBs, and reimbursement processes.
Excellent attention to detail, problem-solving, and multi-tasking skills.
Ability to communicate effectively with insurance companies, patients, and healthcare providers.
Knowledge of HIPAA regulations and compliance standards.
