Vacation Rental Property Setup

Sanctuary Vacation Rentals the largest and most respected vacation rental company on the Monterey Peninsula, delivering exceptional guest and homeowner service throughout the hospitality industry.

Position Summary

Sanctuary Vacation Rentals is seeking a detail-oriented and reliable Vacation Rental Property Setup Specialist to help prepare new vacation rental homes for guest arrival and operational launch.

This position plays an important role in ensuring each property meets Sanctuary standards for quality, organization, presentation, and guest readiness.

This role combines hands-on property preparation, computer-based administrative work, homeowner communication, and coordination with internal teams. The ideal candidate enjoys organization, creating beautiful spaces, learning new systems, and taking pride in delivering exceptional service.

No prior vacation rental experience is required. Training will be provided on company processes, systems, and standards.

Reports To: Business Development Manager

Job Type: Full-Time

Pay: $20.00 per hour

Location: Carmel-by-the-Sea and surrounding Monterey Peninsula properties

ResponsibilitiesProperty Setup & Preparation

Prepare vacation rental properties for guest readiness by following established company standards and property-specific guidelines.
Complete full property setup, including organization, stocking, and preparation of household items and amenities.
Create and maintain accurate inventories of linens, supplies, kitchen items, décor, and property materials.
Organize owner closets, storage areas, and property supplies.
Help ensure homes are organized, functional, and visually ready for guests.
Assist with staging homes for professional photography and marketing presentation.
Identify and report missing items, maintenance concerns, or operational issues.
Assist with property inspections and readiness checks.

Computer & Administrative Responsibilities

Create and update guest-facing materials, including:
Welcome books
Check-in instructions
House guides
Property signage
Guest information documents
Use Microsoft Office (Word, Excel, and Outlook) to create documents, maintain spreadsheets, organize files, and manage property information.
Utilize company systems including Escapia and Breezeway to support property setup, inspections, task management, and operational readiness.
Enter and maintain accurate property details, amenities, instructions, and operational information.
Maintain organized digital records and back-end property information needed by Reservations, Operations, and other departments.

Homeowner Communication

Communicate professionally with homeowners throughout the property setup process.
Gather property details, homeowner preferences, access information, and home-specific requirements.
Provide updates regarding setup progress, outstanding items, and property readiness.
Represent Sanctuary Vacation Rentals with professionalism, responsiveness, and attention to detail.

Requirements & Qualifications

Strong organizational skills and excellent attention to detail.
Reliable, dependable, and able to manage tasks independently.
Strong communication skills and the ability to interact professionally with homeowners, vendors, guests, and team members.
Comfortable working both independently and as part of a team.
Strong computer skills and ability to learn new software systems.
Proficiency with Microsoft Office (Word, Excel, and Outlook).
Comfortable learning and using property management platforms such as Escapia and Breezeway.
Ability to create professional documents, maintain spreadsheets, organize digital files, and accurately enter information.
Comfortable working both in an office environment and at vacation rental properties.
Ability to work on your feet for extended periods.
Ability to lift and carry up to 50 lbs.
Reliable transportation and ability to travel between properties.
Valid driver's license.
