Wholesale Coordinator & Administrative Assistant

Ad Astra Bread Co. | Monterey, CA

Ad Astra Bread Co. is an artisan bakery and café dedicated to naturally leavened breads, handcrafted pastries, thoughtfully prepared food, and exceptional hospitality. We supply many of the Central Coast's finest restaurants, markets, and cafés while operating our own retail locations.

As we continue to grow, we're looking for a highly organized, dependable person to join our administrative team as our Wholesale Coordinator & Administrative Assistant.

This position is ideal for someone who enjoys staying organized, communicating with people, and helping keep a busy business running smoothly. Every day is a little different, and you'll play an important role in supporting both our wholesale customers and our internal team. This position will also serve as a relief delivery driver when needed, helping ensure our customers continue to receive the exceptional service they've come to expect from Ad Astra.

Responsibilities Include

Managing wholesale customer orders and changes
Communicating with chefs, grocery buyers, and wholesale accounts
Creating daily production and packing reports
Coordinating delivery schedules
Assisting with delivery logistics and route planning
Serving as a relief delivery driver when needed
Answering phones and responding to emails
Assisting with data entry and record keeping
Preparing invoices and other administrative documents
Maintaining accurate customer and product information
Supporting managers with a variety of office and operational projects
Assisting with general administrative duties as needed

Qualifications

Exceptional organizational skills and attention to detail
Friendly, professional, and confident communicator
Ability to prioritize multiple tasks in a fast-paced environment
Dependable, punctual, and self-motivated
Comfortable working with computers and learning new software
Proficient with Google Workspace (or similar office software)
Positive attitude and willingness to jump in wherever needed
Valid California driver's license with a clean driving record
Comfortable driving company delivery vehicles as needed

Preferred Qualifications

Administrative or office experience
Customer service experience
Hospitality, food service, or wholesale experience is a plus
