Full Job Description

PLASTIC SURGERY PATIENT COORDINATOR

Our Role
Our practice is searching for a very well-organized and experienced Patient Coordinator (Surgical Coordinator) for a busy and highly respected Plastic Surgery Practice in the Santa Monica / Brentwood area. We have an energetic work environment and YOU are enthusiastic, organized, friendly, and ready to become an integral member of our practice. Our preference is someone that has experience working in a plastic surgery practice such as M.A. or Front Desk with strong skillset looking for next career step; would also consider other background in dermatology, ophthalmology or “luxury brand” sales experience.

Our entire team is important to the experience of our patients and practice success. We are hiring for a central role and require: the highest level of organization and time management, professionalism and ability to easily build relationships, a highly skilled verbal and written communication style, understanding of sales and comfort in discussing fees and sensitive information, and an exemplary team player who can be flexible in their support of other staff.

We can't emphasize enough that the nature of our plastic surgery practice requires an individual who is detail oriented, possesses strong customer service skills, can prioritize tasks, energetic, dynamic and extremely organized. Must be able to work independently and with other clinical staff as a team.

Full-Time

Communicate clearly with all new and existing cosmetic surgery patients at initial phone call, email or text; help patients make qualified decisions.
Schedule patient consultations strategically after assessing patient goals, confirm consultation appointments and be responsible for securing an effective schedule.
Prepare Treatment Plans and present Fees, thoroughly discuss surgery scheduling options, explain Financial Policies, and collect payment.
Organize patient follow-up and maintain ongoing communication including: prioritizing patient needs, educating, listening to patient goals and understanding concerns.
Schedule patient for surgery with our surgery center, confirm procedures with patient and surgeon, communicate all times and preoperative testing.
Utilize EMR practice management system for all scheduling, tracking, notes, and reporting. Produce practice reporting and review metrics for practice growth.
Assist front desk as needed and support all team members.
Demonstrate initiative, personal awareness, professional and integrity and exercise confidentiality in all areas of performance.

Guidelines

High school Diploma or equivalent, College a PLUS. MINIMUM +2 years medical office experience. Plastic Surgery strongly preferred and proven track record in building a cosmetic surgery schedule. Other experience considered: Dermatology, Ophthalmology, Medical Spa or Luxury Brand.
STRONG Computer skills including: Word, Excel, and ability to use EMR practice management system and learn new software.
EXCELLENT grammar and highly developed written communication skills.
MUST have strong interpersonal skills, excellent phone skills, friendly personable manner and ability to understand patient’s needs.
MUST demonstrate initiative, personal awareness, professional integrity, be respectful of patient privacy, understand discretion, and exercise confidentiality.
Ability to multi-task, exceptional attention to detail, extremely organized and able to follow systems in all areas of performance.
Poised, highly professional, sophisticated presentation.
Ability to work independently, honest, reliable, and team-player.
PLUS, if you have a sales background AND medical experience.
PLUS, if you are comfortable with understanding sales reports and metrics.
