Full Job Description

Do you have a passion for supporting children's equitable access to healthy food? Are you organized and have experience in administrative support work? If so, Boys & Girls Clubs of Northwest San Diego (BGCNWSD) would like to invite you to consider being part of our team as a Culinary Arts Coordinator.

We're looking for individuals who have at least a High School Diploma or a GED equivalent, as well as has experience in record-keeping/data entry, and tracking of processes. Experience in food services, a nonprofit, or managing federally-funded food programs would be highly beneficial. This is a part-time, in-person role working about 24- 28 hours per week at our Oceanside Clubhouse. The Culinary Arts Coordinator is a newly-developed role designed to support existing grants that provide funding for children's meal programs. The Culinary Arts Coordinator, working under the direction of the Culinary Arts Director, is responsible for managing and ensuring compliance with all aspects of the Child and Adult Care Food Program (CACFP) and Summer Food Service Program (SFSP) grants. This role supports the CDE Kitchen Manager by overseeing documentation, reporting, and training, and supporting administrative reviews related to grant-funded meal programs across multiple sites. Additionally, this position is responsible for grant reporting, tracking grant requirements, and ensuring adherence to all culinary grants. The Culinary Arts Coordinator will also drive and complete scheduled delivery routes, accurately track distributed inventory, and uphold food safety and temperature control standards during transport.

Job Responsibilities:

Major Duties and Responsibilities- Key Roles:

Administrative

· Ensure all CACFP/SFSP grant requirements are submitted accurately and on time each month.

· Compile, submit, and archive daily CACFP/SFSP meal information at the end of the month including:

o Meal Production Logs

o Meal Count Sheets for Oceanside and Delivery Sites

o Delivery/temp Logs

o Kitchen Refrigeration and Freezer Temp Log

o Menus with quantities of food (CACFP/SFSP req.)

o Recipes with calculated quantities of food

o Personnel Tracking Documents (PAR)

· Collect data from culinary staff, design and implement systems to collect such data, and work with grant and marketing teams to meet grant requirements and track the impact of the grant.

· Managing expenses and tracking impact metrics. Additionally, develop forms, processes, procedures, and measurement tools to facilitate the implementation of grants.

· Monitor grant reporting and billing requirements, ensuring all deadlines are met

· Review and verify that all site documents are complete and accurate monthly.

· Ensure a productive work environment and seek inclusion of staff input on programs and operations.

· Upload Food Bank statistics monthly

Training & Audits

· Provide CACFP/SFSP training to all delivery sites to ensure compliance and understanding of program requirements.

· Monitor CACFP/SFSP delivery sites by conducting site reviews as needed to ensure compliance.

· Prepare for and participate in CACFP/SFSP California Dept. Of Education administrative review, including gathering necessary documentation and meeting with auditors.

· Complete Mandatory CACFP and SFSP annual training course required within 30 days of hire

· Obtain Food Handlers Certification within 30 days of hire

Financial Oversight

· Complete all grant drawdowns for culinary-related grants in coordination with culinary, finance and program teams.

Grant Evaluation and Reporting

· Monitor and evaluate program effectiveness through student feedback surveys, performance metrics, and industry trends.

· Assist in the development and drafting of guidelines to support accuracy and efficiency in processes, such as: tracking youth attendance and participation in events, registration procedures, incident reporting, feedback from parents, monthly financial assistance tracking, and annual reporting.

· Provide analytics and metrics for successful grant impact. Create a monthly update of financial expectations.

Transportation & Safety Operations

· Coordinate multi-site delivery routes to ensure all meals are delivered fresh and on schedule.

· Responsible for driving and completing multi-site delivery routes, ensuring timely and quality distribution of fresh produce, pantry goods and meals.

· Manage inventory records by tracking quantities distributed at each site and reconciling stock at the end of the shift.

· Follow food safety protocols, ensuring proper temperature control and hygiene standards are met during transit.
