Full Job Description

Overview

We are looking for an individual who excels in performance and problem-solving to join our leadership team. The ideal candidate will manage basic bookkeeping tasks and actively oversee the daily operations of two shelter facilities, requiring a hands-on approach. In addition to these duties, the candidate should demonstrate a strong commitment to teamwork, possess engaging interpersonal skills, and be proficient with various digital tools. This role is characterized by a fast-paced environment where quick decision-making, composure under pressure, and creative adaptability are essential. Prior experience in the animal field is not necessary; we value enthusiasm and a willingness to learn above all.

Responsibilities

Facilities Oversight – Monitor two (2) facilities at separate locations ensuring all areas are clean, safe, and well-maintained. Includes researching/purchasing new equipment, scheduling preventative maintenance and promptly addressing repairs. May require coordinating staff, engaging volunteers, or hiring contractors.
Inventories - Maintain adequate supplies of pet food/supplies, cleaning supplies, etc. Maintain organization merchandise for sale and give-aways. Coordinate with Public Liaison for branding, graphics, and quantities. Place orders, coordinate delivery/pickup, keep stock neat and organized.
Logistics - Prepare for weekly spay/neuter appointments and animal transports (enter data, prepare carriers/crates and runsheet, etc.). Use company vehicles to transport animals between facilities, to veterinarian offices, and/or to rescue partners. May also coordinate staff and volunteers to assist as available.
Daily Operations - Primary person for preparing paperwork, tracking/inputting data, and preparing for new intakes. Also, keep kennel cards, med cards (and medication), and animal pictures current. Secondary person in daily operations including but not limited to answering the phone, greeting the public, processing adoptions, and communicating with volunteers. Work animal care shifts as scheduled.
Financial & Technology - Manage P&L, budgets, credit cards, accounts payable, and monthly reconciliations. Maintain organized and accurate records. Oversee website(s) development and administration and other online listings/presence with content and design assistance from Public Liaison.
Work schedule may vary depending on needs. Typically Mon-Fri (off Sat/Sun) or Tues-Sat (off Sun/Mon). Occasional on-call weekends and/or holidays since we care for animals 365 days a year.
Other Duties as Assigned

Qualifications

Bachelor's Degree or Associate's Degree (or equivalent work experience)
Minimum 3 years relevant work experience in a leadership role
Proficient with Microsoft Excel/Word or Apple Numbers/Pages
Quickbooks, Website, and Database experience are not required but a plus
Must be physically able to lift (50 lbs), bend, kneel, and be on your feet during a workday
