Job Summary
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our front desk and administrative functions. The ideal candidate will possess excellent communication skills, a strong customer service orientation, and the ability to manage multiple tasks efficiently.

Duties

Communicating professionally with General contractors regarding prospective projects and follow up.
Manage multi-line phone systems, directing calls appropriately and taking messages when necessary.
Perform clerical duties including data entry, filing, and maintaining organized records.
Assist with calendar management, scheduling appointments, and coordinating meetings.
Utilize QuickBooks for basic bookkeeping tasks and financial record keeping.
Support office management by ensuring supplies are stocked and the workspace is tidy.
Handle correspondence through email and postal mail with attention to detail in proofreading.
Provide administrative support to team members as needed, demonstrating strong organizational skills.
Maintain confidentiality of sensitive information.

Experience

Previous experience in an office environment or as a receptionist is required.
Proficiency in Microsoft Office Suite (Word & Excel) and ability to learn new software quickly and efficiently.
Familiarity with multi-line phone systems and strong phone etiquette skills are necessary.
Experience with QuickBooks or similar accounting software is a plus.
Strong typing skills with attention to detail for accurate data entry and filing tasks.
Demonstrated time management skills with the ability to prioritize tasks effectively in a fast-paced environment.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour

Expected hours: 40 per week
