Operations & Office Coordinator

Enviro-Master of Chicagoland — Bensenville, IL
Full-Time | In-Person
Salary: $45,000–$52,000 per year, based on experience

About the Role

Enviro-Master of Chicagoland is looking for an organized, proactive Operations & Office Coordinator to help run the administrative side of our growing field-service business.

This position works closely with our Operations Manager and serves as a key connection between field employees, customers, sales, payroll, and management.

We're looking for someone who takes ownership, follows through, stays organized, and makes sure important issues don't fall through the cracks.

Key Responsibilities

Coordinate day-to-day office and administrative activities
Work closely with Operations on scheduling, routes, missed services, and field issues
Handle customer communication and follow issues through resolution
Coordinate payroll preparation, timekeeping, and employee documentation
Support employee onboarding and offboarding
Maintain reports, spreadsheets, customer records, and company systems
Track outstanding tasks and follow up with employees and managers to ensure completion
Coordinate new customer handoffs from Sales to Operations
Maintain organized and accurate operational and administrative records
Identify problems, communicate effectively, and help drive issues to resolution

What We're Looking For

2+ years of office administration, operations coordination, dispatch, or customer service experience
Strong organization and attention to detail
Excellent follow-through and sense of urgency
Strong written and verbal communication skills
Comfortable communicating with both field employees and customers
Ability to manage multiple priorities in a fast-paced environment
Ability to work independently and take initiative
Strong computer skills, including Microsoft Excel, Word, and Outlook
Payroll, scheduling, CRM, or field-service software experience is a plus
Experience in commercial services, logistics, transportation, facilities, construction, or another field-based business is preferred

What Success Looks Like

You know what's outstanding, who is responsible, and whether it has been completed. Customers receive timely follow-up, payroll and administrative information stays organized, and routine issues are handled without unnecessary management involvement.

We're looking for someone who wants to take ownership, grow with the company, and take on increasing responsibility over time.

Schedule & Compensation

Full-time, Monday through Friday
In-person at our Bensenville, IL office
$45,000–$52,000 per year, based on experience
