Full Job Description

Position Summary

The Grant Coordinator plays a critical role in supporting the agency's grant development, reporting, and project management functions. Working closely with the Chief Strategy Officer, this position is responsible for researching funding opportunities, coordinating grant applications and reports, tracking grant deliverables, and supporting cross-departmental collaboration to ensure compliance with funder requirements.

The Grant Coordinator helps ensure that grant submissions, reports, and funded projects are organized, accurate, timely, and aligned with the agency’s mission and strategic goals. The ideal candidate is detail-oriented, collaborative, organized, and committed to supporting positive change through effective grant management and resource development.

This is a permanent, full-time position offering competitive compensation and a comprehensive benefits package.

Key Responsibilities

Grant Writing & Application Support

Research grant opportunities that align with agency programs, services, and strategic priorities.
Assist in preparing grant applications, letters of inquiry, proposals, and supporting documentation.
Draft and edit grant narratives using program data, community needs assessments, outcomes, and agency information.
Review proposal materials for accuracy, completeness, consistency, and compliance with funder requirements.
Maintain organized records of grant applications, award notifications, deadlines, and supporting documentation.
Collaborate with program and finance staff to gather information necessary for successful grant submissions.

Grant Reporting & Compliance

Draft grant reports detailing program activities, outcomes, progress toward objectives, and challenges.
Coordinate collection of programmatic and financial data needed for grant reporting.
Monitor reporting schedules and ensure timely submission of all required reports.
Assist with maintaining grant compliance documentation and funder communications.
Work collaboratively with program and finance staff to ensure alignment between narrative reports, budgets, and grant requirements.
Maintain records of grant-funded activities, performance measures, and deliverables.

Grant Project Management

Track active grants from award through closeout.
Monitor grant deliverables, timelines, reporting requirements, and project milestones.
Coordinate internal meetings and follow-up activities related to grant-funded projects.
Assist with implementation planning for newly awarded grants.
Maintain grant management tools, calendars, tracking systems, and project files.
Identify and communicate potential concerns regarding grant deadlines, deliverables, or compliance requirements.

Administrative & Department Support

Assist in preparing grant-related presentations, summaries, funder updates, and internal reports.
Support communications with funders, community partners, and agency leadership as assigned.
Assist with developing and improving grant management processes, templates, and tracking systems.
Maintain confidentiality of sensitive organizational, financial, and program information.
Perform other duties as assigned.

Qualifications

Bachelor’s degree in English, Communications, Nonprofit Management, Public Administration, Business Administration, or a related field preferred.
One (1) to three (3) years of experience in grant writing, nonprofit administration, development, project coordination, communications, or a related field preferred.
Strong writing, editing, proofreading, and research skills.
Ability to translate program information, data, and community needs into clear and compelling written narratives.
Strong organizational skills with exceptional attention to detail.
Ability to manage multiple priorities, deadlines, and projects simultaneously.
Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
Experience working with databases, shared drives, project management tools, and grant tracking systems preferred.
Strong interpersonal skills and the ability to collaborate effectively across departments.
Conducts self in a manner consistent with agency principles and applicable codes of ethics.

Additional Requirements

Ability to follow all HIPAA, confidentiality, and agency policies and procedures in accordance with applicable laws.
Ability to complete assigned tasks independently with minimal supervision and accept accountability for outcomes.
Dependable, punctual, and prompt for work, assignments, and meetings.
Ability to respond positively to changing priorities and maintain composure in high-demand situations.
Excellent written, verbal, organizational, and time management skills.
Ability to maintain a global perspective while managing detailed, day-to-day responsibilities.
Willingness and ability to travel as assigned.

Pay: $55,000.00 - $62,000.00 per year
