Full Job Description

Therapeutic Bodywork is seeking an organized, proactive, and solutions-oriented Operations Coordinator to support the day-to-day operations of our wellness center. This role is responsible for ensuring a seamless experience for both clients and team members by maintaining efficient systems, supporting front-of-house operations, managing facilities and vendors, and proactively addressing operational needs.

This role is responsible for ensuring a seamless experience for both clients and team members by maintaining efficient systems, supporting front-of-house operations, managing facilities and vendors, and proactively addressing operational needs. As a highly visible member of our team, the Operations Coordinator also serves as a welcoming and supportive presence throughout the wellness center. This position offers significant opportunity for growth and development, with the potential to evolve into a leadership role over time for the right candidate.

Schedule:

Mon-Fri 8am-2pm

Must be available to work a flexible schedule that may include mornings, evenings, and weekends based on business needs.

Key Responsibilities

Operations & Facility Support

Lead the opening and daily operational setup of Therapeutic Bodywork to ensure the business runs smoothly each day.
Identify, troubleshoot, and resolve operational challenges and facility-related issues.
Oversee the maintenance, organization, and presentation of the physical space to uphold Therapeutic Bodywork's standards.
Coordinate with vendors, service providers, and maintenance professionals as needed.
Anticipate operational needs and implement solutions to prevent disruptions.
Manage equipment maintenance, repairs, and replacement needs.

Front-of-House & Team Support

Support front desk operations as needed throughout the day.
Coordinate desk coverage, scheduling support, and time-off planning to ensure consistent front-of-house coverage.
Assist with desk coverage during absences, high-volume periods, and operational needs.
Address client and team concerns with professionalism, discretion, and empathy.
Foster a positive and supportive environment for both clients and staff.

Client Experience & Hospitality

Serve as a welcoming, visible presence throughout both buildings.
Ensure clients feel comfortable, informed, and cared for from arrival through departure.
Assist with client flow between buildings and treatment areas as needed.
Help maintain a calm, professional, and restorative atmosphere in waiting areas and common spaces.
Build positive relationships with clients, practitioners, and administrative team members.
Anticipate client and team needs and proactively offer support.

Administrative & Business Support

Complete weekly bank runs and operational errands, including product returns and sharps container drop-offs as needed.
Collaborate with the Marketing Director to support and execute marketing initiatives.
Assist with special projects and business improvement initiatives, including website updates, membership program enhancements, and process optimization.
Support leadership with operational planning and implementation of new systems and procedures.

Qualifications

Previous experience in operations, office management, hospitality, wellness, healthcare, or a related field.
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Ability to prioritize multiple responsibilities and adapt to changing needs.
Proactive problem-solving mindset with strong attention to detail.
Comfortable working independently and making sound decisions.
Proficiency with technology and business systems; experience with scheduling software (MindBody) is a plus.
