Job Summary

We are seeking a dynamic and organized Hybrid Office Administrator to join our team! This vital role combines in-office and remote responsibilities to ensure the smooth operation of our administrative functions. You will be the backbone of our office environment, managing daily operations, coordinating schedules, overseeing vendor relationships, and supporting team members across various departments. Your proactive approach and exceptional communication skills will help foster a productive, welcoming workspace while maintaining efficient administrative workflows. This position offers an exciting opportunity to showcase your multitasking prowess and organizational expertise in a vibrant, fast-paced environment.

Duties

Manage calendar scheduling, appointment setting, and meeting coordination for multiple teams to optimize productivity and time management.
Oversee office operations, including front desk duties, multi-line phone systems, filing systems, and general clerical tasks to ensure a professional and organized workspace.
Coordinate event planning activities such as team meetings, training sessions, and company events to promote engagement and team development.
Supervise administrative staff and provide training & development opportunities to enhance team performance.
Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive relationships with service providers.
Maintain accurate bookkeeping records using QuickBooks for invoicing, expense tracking, and payroll processing in collaboration with human resources.
Support medical office management tasks when applicable, including scheduling appointments and managing patient records with confidentiality.
Assist with budgeting processes by monitoring expenses and preparing financial reports to support strategic planning.
Ensure compliance with office policies, manage filing systems, and uphold excellent phone etiquette to foster a welcoming environment.
Collaborate closely with human resources on onboarding new employees, managing payroll data, and supporting employee engagement initiatives.

Qualifications

Proven experience in office management or administrative roles with a strong background in clerical work and office experience.
Supervising experience preferred; capable of leading teams effectively while fostering a collaborative environment.
Proficiency in QuickBooks for bookkeeping, payroll processing, and budgeting tasks is highly desirable.
Excellent communication skills—both verbal and written—and strong organizational abilities are essential for success in this role.
Demonstrated expertise in event planning, schedule management, vendor relations, and human resources functions
Ability to manage multiple priorities efficiently within a hybrid work setting while maintaining attention to detail.
Experience with multi-line phone systems, calendar management tools, and training & development initiatives will be advantageous.
