Office Manager/Bookkeeper

Schneeberger Collective, a fast-growing architecture and interior design firm, is seeking an experienced Office Manager/Bookkeeper to play a vital role in the firm's expansion and to help establish an inclusive, innovative, and collaborative company culture. This full-time, in-office position works closely with the Director of Operations to support the company's strategic and business goals across daily operations, project administration, client experience, and financial administration using QuickBooks Online.

Responsibilities include but are not limited to:

Office Management, Client Experience & Administrative Support

Serve as the first point of contact, greeting clients and guests and overseeing daily opening, closing, and general office procedures
Manage relationships with building management, vendors, and service providers; monitor office supplies, furniture, and equipment; coordinate maintenance and repairs
Manage calendars and scheduling, meetings, and travel arrangements for the Director of Operations, President, and broader team
Prepare correspondence and presentations, maintain organized filing systems, manage phone calls and mail, and support new employee onboarding
Help plan team events, including lunch and learns

Project Administration & Marketing Support

Support project intake, onboarding, and proposal requests, coordinating with project managers
Coordinate project offboarding and closeout documentation
Assist with proposal and project documents, marketing materials, and social media postings

Financial Management & Bookkeeping

Manage the firm's bookkeeping using QuickBooks Online, under the direction of the Director of Operations, including accounts payable/receivable, invoicing, and monthly reconciliations
Maintain accurate financial records and assist with monthly, quarterly, and annual financial reporting

HR & Payroll Administration

Ensure accurate time submission for bi-weekly payroll processing and PEO provider; assist with benefits administration and recruitment coordination
Help ensure compliance with federal, state, and local labor laws and regulations

Qualifications/Skills:

Bachelor's degree in Business Administration, Accounting, Finance, or a related field
Minimum of 5 years of experience in office management and administrative support, preferably within the architecture, design, or professional services industries
Strong proficiency in QuickBooks Online and experience with bookkeeping and financial administration
Excellent written and verbal communication skills, comfortable as the first point of contact for clients, vendors, and team members at all levels
Exceptional organizational and time management skills, with strong attention to detail and the ability to manage competing priorities in a fast-paced environment
Proficient with Office 365, calendar management, Zoom, and general office technologies and equipment
