The HR Specialist provides administrative support for electronic onboarding and branch-level hiring. This position coordinates virtual new-hire orientation, helps candidates move efficiently through the hiring process, and supports branch leaders with hiring service technicians, plumbers, excavation crews, and restoration crews. Working in partnership with the Talent Acquisition Manager, the HR Specialist maintains accurate employee and candidate information, responds to routine HR questions, and helps provide a consistent, welcoming, and compliant employee experience.
Essential Duties and Responsibilities
Onboarding and New-Hire Support
- Administer the onboarding workflow from accepted offer through completion of required new-hire activities and communicate status and next steps to candidates, branch leaders, and HR.
- Initiate and monitor electronic new-hire paperwork in the HRIS, including required forms, policy acknowledgments, and other onboarding documentation; follow up on missing or incomplete items.
- Coordinate pre-employment requirements, start dates, schedules, training plans, access needs, and first-day logistics in accordance with company policy.
- Conduct virtual new-hire orientation and explain key policies, benefits resources, timekeeping expectations, and available employee support.
- Track onboarding progress, identify delays or recurring issues, and recommend practical process improvements.
Branch Recruitment Support
- Partner with the Talent Acquisition Manager and branch leaders to support established hiring priorities, candidate profiles, and timelines for assigned branch openings.
- Provide administrative recruiting support for branch-level service technician, plumber, excavation, and restoration openings.
- Schedule branch interviews for general managers and other designated interviewers, coordinate hiring-process steps, and provide timely candidate communication.
- Conduct targeted candidate searches for designated branch-level positions and share qualified prospects with the Talent Acquisition Manager for review and next steps.
- Maintain accurate recruiting activity and candidate status information in company systems and provide routine hiring-progress updates.
- Support local hiring events, employee-referral activity, and community outreach as directed by the Talent Acquisition Manager.
- Maintain complete, accurate, and confidential employee records and enter employee changes promptly in applicable HR systems.
- Respond to routine employee and manager questions regarding HR policies, onboarding, benefits resources, leave processes, and employment documentation; escalate sensitive or complex matters appropriately.
- Prepare HR correspondence and documentation using approved templates and established procedures.
- Support benefits administration, employee engagement efforts, HR projects, reporting, audits, and process-improvement initiatives.
- Provide backup support for designated HR administrative processes, including payroll-related activities, as trained and assigned.
- Protect confidential information and follow company policies, record-retention requirements, equal employment opportunity practices, and applicable employment laws.
- Perform other duties as assigned to support HR operations and evolving business needs.
Associate's or bachelor's degree in human resources, business, or a related field preferred; equivalent relevant experience will be considered.
- Two or more years of experience in human resources, recruiting coordination, onboarding, or a related administrative role preferred.
- Demonstrated ability to manage multiple priorities, meet deadlines, follow through, and maintain close attention to detail.
- Strong written and verbal communication skills with a service-oriented, professional approach to employees, candidates, and leaders.
- Sound judgment and the ability to handle confidential and sensitive information appropriately.
- Proficiency with Microsoft Word, Excel, Outlook, Teams, and PowerPoint; ability to learn applicant-tracking and HR information systems.
