Full Job Description

The Publishing Operations Coordinator will support the business, administrative, and marketing functions of an independent publishing venture. This role is responsible for tracking book sales performance, supporting tax and financial administration processes, managing e-commerce workflows, executing social media marketing initiatives, and assisting with day-to-day small business operations. The ideal candidate is highly organized, analytical, entrepreneurial, and comfortable wearing multiple hats within a growing creative business.

Key Responsibilities

Publishing Operations & Sales Tracking

Maintain and track book sales data across all sales channels, including e-commerce platforms, marketplaces, and direct-to-consumer sales.
Develop and maintain dashboards, reports, and KPIs related to revenue, units sold, inventory movement, customer trends, and campaign performance.
Reconcile sales reports, monitor order activity, and identify discrepancies requiring follow-up.
Assist in forecasting sales trends and supporting business decision-making through reporting and analytics.

Tax Administration & Financial Support

Track sales tax obligations, marketplace facilitator requirements, and related documentation across applicable states/platforms.
Organize financial records, invoices, receipts, and supporting tax documentation.
Coordinate with external accountants, bookkeepers, or tax professionals as needed.
Support budgeting, expense tracking, vendor payments, and financial reporting processes.

E-Commerce & Publishing Workflow Management

Manage and optimize e-commerce workflows including order processing, fulfillment coordination, inventory updates, customer communications, and platform maintenance.
Maintain product listings, metadata, pricing, promotional campaigns, and launch schedules across publishing and retail channels.
Support implementation and refinement of operational processes to improve efficiency and customer experience.
Monitor customer reviews, fulfillment performance, and operational metrics.

Marketing & Social Media

Assist in execution of book marketing strategies and launch campaigns across social media channels.
Create and schedule content, maintain editorial calendars, and support audience growth initiatives.
Track marketing performance metrics including engagement, reach, conversions, and ROI.
Coordinate promotional efforts including influencer outreach, giveaways, events, newsletters, and partnerships.
Support development of brand presence and community engagement initiatives.

Small Business Administration

Provide administrative support across publishing and business operations.
Maintain project timelines, operational documents, SOPs, contracts, and vendor files.
Coordinate calendars, meetings, and business deliverables as needed.
Assist leadership with special projects and growth initiatives.

Qualifications

Experience in publishing operations, e-commerce, marketing, small business administration, or related field preferred.
Working knowledge of e-commerce platforms and online sales workflows.
Understanding of sales tracking, reporting, bookkeeping support, and tax-related administrative processes.
Experience managing social media platforms and marketing campaigns.
Strong proficiency in spreadsheets, reporting tools, and digital collaboration platforms.
Highly organized with strong attention to detail and ability to manage multiple priorities.
Entrepreneurial mindset with comfort working in a fast-paced startup environment.

Preferred Experience

Independent publishing, author brand management, or creative business experience.
Familiarity with Amazon KDP, Shopify, Etsy, or similar e-commerce platforms.
Experience supporting tax preparation or small business financial administration.
Background in content marketing, analytics, or digital audience growth.
