This is not a passive project-management position where you simply schedule meetings, update task statuses, and ask team members for progress reports.
The core purpose of this role is to fill the gaps across the company and make sure nothing falls through the cracks. This person will serve as the connecting web between leadership and the entire team, taking responsibility for following up with everyone, coordinating responsibilities across departments, and making sure every task and commitment gets completed without team members having to constantly chase one another.
We are looking for an experienced Program Manager who will take ownership of company-wide execution across a small but growing remote team.
Your responsibility will be to make sure:
- Every team member understands what they are responsible for.
- Tasks and company directives are being completed correctly and on time.
- Team members follow established processes and SOPs.
- Commitments made during meetings and conversations turn into completed work.
- Delays and performance issues are identified before they become larger problems.
- Leadership has an accurate understanding of what is happening throughout the company.
You must be comfortable following up multiple times, asking direct questions, holding people accountable, and continuing to push until the work is completed.
If you prefer to avoid uncomfortable conversations or simply accept that a task is “still being worked on,” this role will not be a good fit.
Interview Process & Hands-On Test
Candidates selected for an interview should be prepared to discuss real examples of how they have managed teams, enforced deadlines, addressed missed commitments, and improved execution.
Qualified candidates may also be asked to complete a practical exercise involving:
- Reviewing a sample list of company projects and responsibilities.
- Identifying missing information, risks, and bottlenecks.
- Creating a clear accountability and follow-up structure.
- Determining what should be prioritized and escalated.
- Drafting or improving a short SOP.
- Explaining how they would address a team member who repeatedly misses deadlines.
We are looking for practical thinking and real-world management ability—not memorized project-management terminology.
About the Role
Built By Shah is a marketing company that works specifically with auto body shops to get them more customers.
Our team currently consists of approximately eight team members working across several departments, including:
- Google Ads management.
- Client success and account management.
- Appointment setting and lead qualification.
- Sales.
- Lead management software development and automation.
- Landing-page development.
- Internal operations and company growth projects.
The Program Manager will serve as the central operational link between leadership and every person on the team.
You will report directly to Zayn and Shah and will be responsible for turning company goals, leadership directives, meeting discussions, and individual commitments into organized and completed work.
You will need to understand what each department is responsible for, what each team member is currently working on, what should be completed next, and what is preventing progress.
The primary purpose of this role is simple:
Make sure the team consistently executes what it is supposed to execute.
Why This Role Is Different
This position is not limited to managing one department or one isolated project.
You will work across the entire company and maintain visibility into the responsibilities of all team members and company leadership.
Because Google Ads management is a major part of our service, you must have strong working knowledge of Google Ads and understand concepts such as:
- Campaign performance.
- Search campaigns and Performance Max campaigns.
- Search terms and negative keywords.
- Lead volume and lead quality.
- Cost per lead and conversion tracking.
- Account health and optimization activity.
- Landing pages and conversion flow.
- How advertising performance affects client satisfaction and retention.
You do not need to personally manage every Google Ads account, but you must know enough to understand what the Google Ads team is doing, recognize when something is not being handled properly, and ask the right questions.
What You Will Be Responsible ForCompany-Wide Task and Project Management
- Maintain a clear view of active projects, deadlines, priorities, and responsibilities across the company.
- Convert leadership discussions and company directives into documented tasks with clear owners and deadlines.
- Make sure every task has enough information for the assigned person to complete it properly.
- Break larger projects into manageable tasks and subtasks.
- Identify dependencies between departments and team members.
- Prevent assignments from being forgotten after meetings or conversations.
- Make sure completed tasks are actually reviewed and verified rather than simply marked complete.
Daily Team Accountability
- Check in with team members multiple times throughout the workday.
- Confirm what each person is working on and whether the work is progressing as expected.
- Compare actual progress against what the team member previously committed to completing.
- Follow up on overdue, incomplete, or unclear assignments.
- Add corrective tasks when additional work is necessary.
- Require clear updates instead of vague statements such as “working on it” or “almost done.”
- Confirm that deadlines are realistic and understood before accepting them.
- Continue following up until the task is properly completed or leadership approves a change in direction.
Identifying Delays and Performance Issues
When a task is not completed, you will be expected to determine why.
This includes identifying whether the issue is caused by:
- Poor time management.
- Unclear instructions.
- Missing information or access.
- Lack of technical ability.
- Failure to follow the established process.
- Conflicting priorities.
- Dependence on another person.
- Avoidance or lack of accountability.
- An unrealistic deadline.
- A larger operational bottleneck.
You will then work with the appropriate team member and leadership to develop a practical solution, document the next steps, and make sure the revised plan is executed.
SOP Enforcement and Process Compliance
- Make sure team members follow established SOPs and company processes.
- Review work against the applicable SOP instead of relying only on verbal confirmation.
- Identify situations where an SOP is outdated, unclear, incomplete, or not being followed.
- Address process failures before they affect clients or other departments.
- Make sure new team members understand the procedures connected to their responsibilities.
- Escalate repeated noncompliance or failure to follow company directives.
SOP Creation and Process Documentation
- Create clear SOPs for recurring company processes.
- Interview team members to understand how a process is currently being completed.
- Turn recordings, explanations, meetings, and existing notes into usable documentation.
- Organize SOPs into logical steps that another qualified person can follow.
- Include responsibilities, expected timelines, required systems, quality-control checks, and escalation procedures.
- Update SOPs when company processes change.
- Make sure SOPs reflect how the company actually expects the work to be performed.
Leadership Reporting
- Provide management with clear and honest updates on company execution.
- Report what has been completed, what is delayed, why it is delayed, and what is being done about it.
- Surface risks before they become emergencies.
- Identify recurring issues involving specific processes, departments, or team members.
- Separate minor delays from problems that require leadership involvement.
- Make recommendations for improving execution, communication, and accountability.
- Maintain accurate records so leadership does not have to chase multiple people for updates.
Daily Expectations
A normal workday may include:
- Reviewing all active and overdue tasks.
- Confirming the day’s priorities with leadership.
- Checking in with each team member at the beginning of the day.
- Reviewing task updates, supporting documentation, and completed work.
- Following up during the day to confirm that important tasks remain on schedule.
- Creating new tasks or subtasks based on company needs.
- Identifying missing deadlines, owners, instructions, or dependencies.
- Addressing delays as soon as they are discovered.
- Reviewing whether SOPs were followed.
- Updating dashboards, project-management systems, and internal documentation.
- Providing leadership with a clear end-of-day summary.
- Preparing the following day’s priorities and follow-ups.
The goal is not to constantly interrupt team members. The goal is to create enough visibility and accountability that missed deadlines, forgotten commitments, and hidden problems do not become normal.
Required Skills and Experience
To be considered for this position, you must have:
- At least 10 years of professional project, program, or operations-management experience.
- At least two years of meaningful Google Ads experience.
- Experience managing multiple departments, team members, or workstreams simultaneously.
- Strong knowledge of project-management systems, task ownership, deadlines, dependencies, and prioritization.
- Experience holding employees or contractors accountable for deliverables.
- Experience addressing missed deadlines and underperformance directly.
- Strong SOP creation and process-documentation experience.
- Excellent written and verbal communication skills.
- The ability to ask detailed follow-up questions and identify missing information.
- The ability to distinguish between a valid obstacle and an excuse.
- Strong attention to detail and organizational ability.
- Experience working with remote employees or contractors.
- The confidence to escalate concerns to leadership when necessary.
- Strong computer skills and the ability to learn new systems quickly.
- Reliable internet, a dependable computer, and a professional remote working environment.
