Overview

We are seeking a dynamic and highly organized Executive Assistant/Office Manager to join our team. This vital role combines executive support with office management responsibilities, ensuring smooth daily operations and seamless collaboration across departments. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, proactive problem-solving, and a positive attitude. Your energy and dedication will empower our leadership team to focus on strategic initiatives while maintaining an efficient and welcoming office environment.

Responsibilities

Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating complex business travel arrangements.
Oversee daily office operations, including supply management, filing systems, front desk duties, and multi-line phone systems to ensure a professional and organized workspace.
Coordinate and organize company events, meetings, and internal communications to foster a collaborative workplace culture.
Handle bookkeeping tasks using QuickBooks and assist with data entry, invoicing, expense tracking, and basic financial record keeping.
Support project coordination efforts by tracking deadlines, preparing reports, proofreading documents, and assisting with transcription tasks as needed.
Manage confidential information with discretion while maintaining high standards of accuracy in documentation and correspondence.
Facilitate effective communication across teams through email management, internal messaging platforms, video conferencing software, and timely follow-ups.

Skills

Proven experience as an executive assistant or office manager with strong administrative background.
Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment.
Proficiency in Microsoft Office suite (Word, Excel, PowerPoint), productivity software, and video conferencing tools.
Skilled in event planning, calendar management (including Microsoft Outlook Calendar), and managing multiple projects simultaneously.
Strong written and verbal communication skills with attention to detail for proofreading and transcription tasks.
Technical proficiency in office equipment such as multi-line phone systems and familiarity with DocuSign for electronic signatures.
Experience handling business travel arrangements and working collaboratively with C-suite executives.
Knowledge of bookkeeping software like QuickBooks combined with data entry expertise for accurate record keeping.
Exceptional customer service skills coupled with professional phone etiquette for internal and external interactions.
