Full Job Description

Department: Shipping & Receiving / Logistics
Reports To: Operations Management
Location: Fresco Produce LLC – McAllen, Texas
Position Type: Full-Time

Position Summary

The Shipping, Receiving & Logistics Coordinator manages the daily flow of inbound and outbound shipments, drivers, dock activity, documentation, and transportation communications. This position serves as a central point of communication between drivers, carriers, Shipping & Receiving, Production, Inventory, Sales, Procurement, QC/Food Safety, and management.

The Coordinator is responsible for maintaining accurate information in Produce Magic (PM) and operational logs while helping ensure product, paperwork, drivers, and information move efficiently throughout the facility.

Essential Duties & Responsibilities

Check in inbound and outbound drivers and verify required shipment, carrier, truck, trailer, order, and PO information.
Assign dock doors and coordinate loading and unloading activities with forklift personnel.
Monitor inbound deliveries and outbound orders and communicate shipment status, delays, and order readiness.
Coordinate with Production, Inventory, Sales, Procurement, QC/Food Safety, and other departments as needed.
Enter and maintain accurate shipping, receiving, driver, and transportation information in Produce Magic.
Enter customer orders or Purchase Orders when specifically authorized.
Review shipping and receiving paperwork, pallet/case quantities, QC tags, and related documentation for accuracy.
Identify and promptly communicate discrepancies before shipments are finalized whenever possible.
Communicate with drivers, carriers, freight brokers, vendors, and transportation providers.
Assist with coordinating approved local transportation and monitor cross-border/Mexico shipments.
Maintain accurate inbound, outbound, transportation, dock, and shipment-status logs.
Ensure Bills of Lading and other required shipping/receiving documents contain accurate information.
Monitor essential shipping and receiving office supplies and report replenishment needs.
Prepare required end-of-day reports identifying completed, pending, delayed, or unresolved shipments and operational issues.

Authority & Escalation

The Coordinator may assign available dock doors, coordinate normal loading/unloading priorities, communicate shipment status, enter authorized information into Produce Magic, and identify or hold paperwork while discrepancies are being verified.

Unless specifically authorized, the Coordinator may not independently change customer orders, pricing, product specifications, Purchase Orders, inventory, freight rates, or QC/Food Safety decisions. Issues outside the position's authority must be escalated to the appropriate department or manager.

Required Skills & Qualifications

Strong communication, organization, and multitasking skills.
Attention to detail and ability to maintain accurate records.
Basic knowledge of shipping/receiving documents, Bills of Lading, and Purchase Orders.
Computer and data-entry proficiency; ability to learn Produce Magic.
Ability to prioritize multiple shipments, drivers, and operational needs in a fast-paced environment.
Ability to identify discrepancies and determine when escalation is necessary.
English/Spanish bilingual communication strongly preferred due to regular interaction with Spanish-speaking drivers and transportation partners.

Performance Expectations

Success in this position is measured by accurate documentation, efficient dock coordination, timely communication, accurate shipment verification, complete operational logs, timely reporting, and effective follow-up on inbound, outbound, local, and cross-border shipments.

The Coordinator should maintain a clear understanding of what is arriving, what is leaving, what is ready, what is delayed, where drivers need to go, and who needs to be informed when conditions change.

Pay: $14.00 - $16.00 per hour
