POSITION SUMMARY

This is responsible and complex secretarial work of an administrative nature involving responsibility for the operation of an executive office. Work involves the performance of difficult secretarial and administrative tasks, requiring independent decisions based on interpretations of policies and procedures. Employees of this class are required to exercise considerable initiative and independent judgment in carrying work to completion.

THE ESSENTIAL FUNCTIONS INCLUDE, BUT ARE NOT LIMITED TO, THE FOLLOWING DUTIES. ADDITIONAL ESSENTIAL FUNCTIONS MAY BE IDENTIFIED BY THE CITY AND LISTED AS SUCH IN THE INCUMBENT’S PERFORMANCE APPRAISAL ELEMENTS. VARIOUS TASKS MAY BE ASSIGNED UNDER EACH ESSENTIAL FUNCTION. THOSE THAT ARE LISTED UNDER THE EXAMPLES OF WORK ARE NOT ALL INCLUSIVE; THEY ARE EXAMPLES ONLY AND MAY BE AMENDED OR ADDED TO AS NEEDED BY THE CITY OF McCOMB.

Provides clerical and secretarial support to the Mayor and the City Administrator.
Responsible for answering the and transferring calls.
Coordinates meetings and schedules appointments.
Provides information on procedural matters.
Transmits orders and instructions with authority of the Mayor and the City Administrator.
Receive citizen complaints and questions and refer to appropriate department staff for resolution.
Prepares agendas for Civil Service Commission meeting
Attends Civil Service meetings and takes minutes
Prepares all legal notices required for Civil Service Hearings
Assist with coordination of special events as required.
Responsible for ensuring docket requests and agenda items are forwarded to City Clerk in a timely manner.
Ability to communicate effectively, both orally and in writing.
Performs other duties as assigned.
Should be able to use MS word, Excel and PowerPoint.

INCUMBENT PERFORMS OTHER JOB-RELATED TASKS AS ASSIGNED AND REQUIRED; ANY DUTIES/TASKS INCLUDED IN THE EMPLOYEE'S PERFORMANCE EVALUATION ELEMENTS ARE ESSENTIAL TO THAT EMPLOYEE'S POSITION WITHIN THE JOB CLASSIFICATION.

MINIMUM QUALIFICATIONSEDUCTION AND/OR EXPERIENCE

College degree desired or a completion of a two-year college or technical school certificate with one year of related experience or training, or an equivalent combination of education and experience. Should be able to use MS word, Excel and PowerPoint.

KNOWLEDGE, SKILLS, ABILITIES AND OTHER CHARACTERISTICS

Extensive skill in operating a personal computer with a word processing, spreadsheet, and presentation software.
Considerable knowledge of English, spelling, punctuation, and arithmetic; and modern office practices, procedures, systems, and equipment.
Considerable knowledge of the occupational hazards involved in the work and the proper safety precautions for the safe performance of the job.
Ability to understand and follow oral and written instructions.
And ability to compose effective and accurate correspondence.
Ability to establish and maintain effective working relations as necessitated by work assignments.
Ability to read and comprehend simple instructions, short correspondence, and memos.
Ability to write simple correspondence.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to deal with problems involving several concrete variables in standardized situations.
Ability to interact with the public and employees in a professional manner.

The employee must regularly lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
