Full Job Description

We are seeking an enthusiastic and organized Front Office Coordinator to join our team. In this role, you will leverage your ability to multitask, your thorough preparation and quick relationship-building skills to ensure we are ready to take great care of our patients. Your ability to act swiftly and maintain accuracy while delivering exceptional customer service will be crucial in supporting our operations and ensuring smooth patient processes.

Competitive pay based on experience.

This employee will be working at our Stockbridge location. Hours are 7:45am - 4:00pm with a 30 min unpaid lunch.

Key Responsibilities:

Prepare in advance for patient arrival, understanding the amounts due and benefits available.
Ensure patients are informed and prepared.
Monitor the schedule for last minute changes always looking to prevent issues and optimize.
Build and maintain strong relationships with patients to understand scheduling needs and preferences.
Act with urgency to fill schedules and address last-minute openings, ensuring minimal disruption to operations.
Coordinate and manage schedules for various locations, ensuring optimal coverage and efficiency.
Communicate promptly and effectively with staff regarding schedule changes and updates.

Qualifications:

Excellent interpersonal and relationship-building skills.
Strong sense of urgency and ability to act quickly under pressure.
Exceptional organizational skills and attention to detail.
Proficiency in scheduling software and tools.
Effective communication skills, both written and verbal.
Ability to multitask and manage time efficiently in a fast-paced environment.
Previous experience in scheduling or coordination roles is a plus.

Daily Responsibilities:

Takes personally accountability in keeping schedules full
Verifies benefits and communicates amounts due with patients
Ensures that all copay amounts are collected and posted
Confirms appointments 48 hours in advance
Responds to patient inquiries
Fills gaps in schedule
Notates calls and information in patient notes
