Job Summary

We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth functioning of the office environment. Your proactive approach and excellent communication skills will help foster a welcoming atmosphere for clients and staff alike. This position offers an exciting opportunity to develop your administrative expertise while supporting various office functions with enthusiasm and professionalism. Position requires Saturdays.

Duties

Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth
Answer multi-line phone systems promptly, directing calls efficiently and courteously
Perform data entry tasks using spreadsheets, word processing, and productivity software to maintain accurate records
Coordinate calendar management and schedule appointments for staff members and executives
Handle clerical tasks such as filing, proofreading documents, and organizing office supplies to ensure operational efficiency
Support bookkeeping activities using QuickBooks or similar accounting software for accurate financial record-keeping
Assist with office management duties including organizing meetings, managing office correspondence, and maintaining a tidy workspace

Qualifications

Proven experience in an office environment with strong clerical and administrative skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Familiarity with QuickBooks or other bookkeeping software is highly desirable
Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
Strong computer literacy, including data entry, file management, and technical proficiency with productivity tools
Exceptional phone etiquette and customer service skills; bilingual abilities are a plus for client communication
Prior experience as a receptionist, personal assistant, or medical/dental receptionist is advantageous
Ability to manage time efficiently while maintaining attention to detail in proofreading and document preparation
Ability to work Saturdays
