Full Job Description

Job Overview

The Purchasing Coordinator oversees the procurement process for construction materials, office supplies, equipment, and contracted services. This includes identifying purchasing needs, obtaining competitive quotes, negotiating pricing and terms, issuing purchase orders, coordinating deliveries, maintaining vendor relationships, and ensuring materials are available to support construction schedules and organizational operations. The position also seeks opportunities to maximize cost savings through strategic purchasing, donated or discounted materials, and long-term vendor partnerships.

Working collaboratively with the Finance Director, Construction Department, Executive Leadership, Family Services, and Development teams, the Purchasing Coordinator serves as a key resource in monitoring budgets, tracking project expenditures, and ensuring financial and procurement activities align with Habitat for Humanity's mission and strategic goals. This position requires exceptional attention to detail, sound financial judgment, strong organizational and analytical skills, and the ability to manage multiple priorities in a fast-paced nonprofit environment while maintaining the highest level of integrity, accountability, and customer service.

Responsibilities

Process accounts payable transactions accurately and on time, ensuring vendors, subcontractors, and partners are paid on schedule.
Match invoices to purchase orders and supporting documentation, flagging discrepancies for the Finance Manager/Director.
Maintain organized vendor records, W-9s, and payment documentation to support audit readiness.
Assist with expense coding, credit card reconciliation, and reimbursement processing across departments and active build sites.
Purchasing construction material, equipment, and services.
Obtain competitive quotes and negotiate pricing with vendors.
Establish and maintain relationships with suppliers and local businesses to secure donated or discounted materials.
Coordinate material deliveries to construction sites and office locations.
Monitor inventory levels and forecast purchasing needs with the construction department.
Create and track purchase orders and ensure timely payment for vendor invoices.
Maintain procurement records and vendor files.
Ensure purchasing practices comply with Habitat policies and funding requirements.
Maintain accurate records in the general ledger and assist with month-end and year-end close procedures.
Perform account and bank reconciliations, researching and resolving discrepancies in a timely manner.
Support balance sheet reconciliation and help maintain clean, complete financial records throughout the fiscal year.
Perform high-accuracy data entry, applying strong attention to detail across all financial systems.
Gather and organize documentation to support audit fieldwork, grant reporting, and tax preparation.
Help maintain internal controls and finance policies that safeguard organizational assets and ensure accurate reporting.
Support grant and restricted-fund tracking to ensure spending aligns with funder requirements.
Collaborate with team members to streamline accounting processes and improve day-to-day efficiency.

Experience

Proficiency in QuickBooks and Procore and comfort learning new accounting and financial systems.
Solid understanding of core accounting principles, including accounts payable and general ledger accounting.
Experience with purchasing construction material.
Excellent data entry skills with a high level of accuracy; 10-key experience preferred.
Strong attention to detail and organizational skills to manage multiple deadlines effectively.
Ability to handle confidential financial information with discretion and integrity.
Excellent communication and negotiation abilities
Ability to work independently and as part of a small, collaborative team in a fast-paced environment.
Previous experience in an accounting or bookkeeping role is preferred; recent graduates with strong fundamentals are encouraged to apply.

Preferred

Familiarity with nonprofit or fund accounting, including restricted and grant funding.
Experience supporting an annual audit or month-end close process.
Familiarity with tax and compliance documentation requirements.
Knowledge of budgeting and financial reporting.

Work Environment & Travel

Primarily an in-office role based in McKinney, Texas, with some flexibility.
Occasional local travel for banking, deposits, construction sites, vendor locations or organizational events across Collin County.
Valid driver's license and reliable transportation preferred.

Pay: $60,000.00 per year
