Full Job Description

The Customer Service Representative serves as a primary point of contact between Central Plastics Inc. and its customers. This position is responsible for receiving and processing customer orders, responding to customer questions, communicating order status, and coordinating with Sales, Production, Quality Assurance, Warehouse, and Shipping to support accurate and timely delivery of products.

The Customer Service Representative must provide professional, responsive, and dependable service while maintaining accurate customer, pricing, product, and order information. This position plays an important role in maintaining strong customer relationships and ensuring customer requirements are clearly communicated throughout the organization.

Essential Duties and Responsibilities

Receive, review, enter, and confirm customer purchase orders accurately and promptly.

Verify customer information, part numbers, product descriptions, quantities, pricing, shipping instructions, and requested delivery dates.

Review purchase orders for completeness and identify any discrepancies or special customer requirements.

Communicate order confirmations, lead times, shipment dates, delays, shortages, and other order-related information to customers.

Coordinate with Production and Scheduling to determine product availability, manufacturing requirements, and expected completion dates.

Work closely with Warehouse and Shipping personnel to confirm shipment status, delivery information, and special shipping instructions.

Assist customers by answering questions regarding products, orders, pricing, availability, documentation, and delivery schedules.

Prepare or assist with customer quotations, pricing requests, samples, and other sales-support activities.

Maintain accurate customer information, pricing, order notes, specifications, and communication records in the company’s computer systems.

Monitor open orders and follow up with internal departments to identify and resolve potential delays or concerns.

Communicate changes in customer orders or requirements to all affected departments.

Assist with customer complaints, returns, shortages, damaged shipments, and quality concerns by collecting information and directing the issue to the appropriate department.

Coordinate with Quality Assurance when customers request certifications, inspection records, corrective actions, or other quality documentation.

Maintain appropriate confidentiality regarding customer pricing, product information, company records, and business activities.

Develop and maintain positive professional relationships with customers, vendors, sales representatives, and coworkers.

Provide backup support for other customer service, sales, order-entry, or administrative functions as needed.

Participate in training, meetings, and continuous-improvement activities.

Follow all company policies, safety procedures, quality requirements, and established work instructions.

Perform other duties as assigned.

Customer Service Expectations

The Customer Service Representative is expected to:

Respond to customer inquiries in a timely and professional manner.

Provide accurate information and avoid making delivery or production commitments without proper verification.

Communicate customer concerns promptly to the appropriate manager or department.

Demonstrate patience, professionalism, and sound judgment when addressing difficult situations.

Follow through on customer requests and maintain clear documentation of communications and commitments.

Represent Central Plastics Inc. in a positive and professional manner.

Required Qualifications

High school diploma or equivalent.

Previous experience in customer service, order entry, sales support, administrative support, or a related position.

Strong computer and data-entry skills.

Proficiency with Microsoft Outlook, Word, and Excel.

Ability to communicate clearly and professionally by telephone, email, and written correspondence.

Strong attention to detail and commitment to accuracy.

Ability to organize work, manage multiple priorities, and meet deadlines.

Ability to work effectively with customers, supervisors, managers, and employees from multiple departments.

Ability to handle confidential and sensitive business information appropriately.

Central Plastics Inc. is seeking a dependable, detail-oriented Customer Service Representative to serve as a primary connection between our customers and internal departments. This full-time position is responsible for accurately processing customer orders, answering questions, communicating order and shipment status, and coordinating with Sales, Production, Quality Assurance, Warehouse, and Shipping.

The ideal candidate will have strong customer service, communication, computer, and data-entry skills. This person must be organized, accurate, professional, and able to manage multiple priorities in a fast-paced manufacturing environment.

Key responsibilities include reviewing and entering purchase orders, verifying pricing and product information, monitoring open orders, communicating delivery dates or delays, maintaining customer records, and assisting with customer concerns, returns, shipping issues, and quality-documentation requests.

Previous customer service, order-entry, sales-support, or administrative experience is required. Experience with manufacturing, ERP or inventory-management systems, purchase orders, shipping requirements, or industrial products is preferred.
