Overview

We are seeking a dynamic and highly organized Office Manager/Bookkeeper to join our team! This vital role combines the responsibilities of managing daily office operations with maintaining accurate financial records. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to ensure smooth office functioning and precise bookkeeping in a manufacturing environment. In this role, you will be the backbone of our administrative team, supporting both operational efficiency and financial accuracy, all while fostering a welcoming environment for clients and staff alike. We are looking for just the right candidate to join our team , we are offering 4-5 month training opportunity with current personnel in this position.

Duties

Oversee daily office operations, including managing phone systems, front desk duties, and general administrative support in a busy manufacturing environment
Maintain organized filing systems, handle data entry tasks, and perform clerical duties
Manage accounts payable and receivable using QuickBooks accounting software, ensuring accurate financial record-keeping
Assist in quote set up, job implementation, purchasing
Job Tracking - data entry utilizing Starn Job Cost System
Support client communication efforts through effective correspondence and follow-up
Assist with inventory management, supply ordering, and maintaining office equipment to ensure productivity software and technical tools are functioning
Payroll, Payroll tax experience a bonus, but not required
Job costing, Budget planning a bonus, but not required

Skills

Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook) with strong spreadsheet skills
Excellent organizational skills with the ability to multitask efficiently in a fast-paced manufacturing environment
Strong computer literacy including data entry, typing accuracy, and familiarity with productivity software
Previous office management bookkeeping experience combined with clerical expertise in customer support and front desk operations.
Effective phone communication skills coupled with professional phone etiquette and multi-line phone system handling
Demonstrated time management skills with the ability to prioritize tasks and meet deadlines consistently
