The Traffic Clerk / Logistics Clerk is responsible for coordinating, documenting, and tracking inbound and outbound shipments to ensure accurate, timely, and cost-effective movement of materials and finished goods. This role serves as a critical link between production, warehouse, transportation providers, and customers, ensuring compliance with shipping procedures, documentation requirements, and company policies.
Key Responsibilities
Shipping & Receiving Coordination
- Schedule and coordinate inbound and outbound freight with carriers, suppliers, and internal teams
- Prepare and process shipping documentation, including BOLs, manifests, and customs paperwork (if applicable)
- Ensure adherence to shipping schedules and communicate delays or issues promptly
Carrier & Vendor Interaction
- Communicate with trucking companies, freight brokers, and carriers for scheduling, updates, and issue resolution
- Verify freight rates and support cost tracking efforts
- Address and resolve delivery issues, delays, damages, or shortages
Compliance & Documentation
- Ensure all shipments comply with company, customer, and regulatory requirements
- Maintain accurate records for audits, including DOT and safety-related documentation where applicable
- Follow company procedures for hazardous materials shipping (if applicable)
Customer & Internal Support
- Serve as a point of contact for shipping-related inquiries from customers and internal departments
- Coordinate with production, warehouse, and quality teams to prioritize shipments
- Support continuous improvement initiatives in logistics and shipping processes
Fleet Maintenance Coordination
- Track preventive maintenance schedules for tractors and trailers
- Coordinate with maintenance teams or external vendors for repairs and service appointments
- Maintain maintenance records and downtime logs
- Communicating equipment issues impacting delivery schedules
Qualifications
Education & Experience
- High school diploma or GED required; associate degree in logistics, supply chain, or related field preferred
- 1–3 years of experience in shipping, logistics, transportation, or warehouse operations preferred
- Experience in manufacturing, steel, or heavy industrial environments strongly preferred
- Experience with private fleet operations or dedicated trucking environments preferred
Technical Skills
- Proficiency in ERP/WMS systems (SAP, Oracle, or similar preferred)
- Strong computer skills, including Microsoft Excel and data entry
- Familiarity with shipping documentation and logistics processes
