Job Overview

We are seeking a dynamic and detail-oriented Administrative Assistant/Payroll Clerk/Bookkeeper to join our team. This multifaceted role offers an exciting opportunity to contribute to the financial health and operational efficiency of our organization. You will be responsible for managing essential accounting functions, processing payroll, maintaining accurate financial records, and providing administrative support. Your proactive approach and strong organizational skills will help ensure smooth daily operations and compliance with accounting standards. This position is ideal for a motivated professional eager to grow within a collaborative environment that values precision, integrity, and excellence.

Responsibilities

Manage payroll processing using Quickbooks payroll software, ensuring timely and accurate payments in compliance with all applicable laws and regulations
Assist with monthly bookkeeping of small business clients using Quickboooks and/or Quickbooks Online
Prepare journal entries, ledger reconciliations, and financial reports in accordance with GAAP (Generally Accepted Accounting Principles)
Assist with budgeting, financial analysis, and preparing reports for management review
Ensure compliance with governmental accounting standards and tax regulations by supporting tax filings and audits when necessary
Conduct account analysis, balance sheet reconciliation, and general ledger reconciliation to uphold data integrity
Additional administrative responsibilities to be assigned by management

Qualifications

Proven experience in accounting or bookkeeping roles with familiarity in public accounting or non-profit accounting environments
Strong proficiency in accounting software such as QuickBooks (including QuickBooks Online).
Knowledge of financial concepts including debits & credits, journal entries, account reconciliation, and GAAP standards
Experience with payroll processing using payroll software tools; familiarity with government reporting requirements is a plus
Ability to perform bank reconciliations, balance sheet reconciliation, and account analysis accurately
Demonstrated understanding of governmental accounting practices and tax experience preferred
Strong communication skills to prepare financial reports and collaborate effectively across teams
Ability to work independently and take ownership of work
Flexibility to work more hours during busy season January-April, this will include some Saturdays 9 am - 1pm.
