Patient Services Representative

Hours: Full-time, 32 - 40 hours per week

DESCRIPTION

Job Summary:

The Patient Services Representative serves as the first point of contact for patients at a busy surgeon’s office. This role is responsible for answering incoming calls, scheduling patient appointments, and providing exceptional customer service. The ideal candidate is friendly, organized, and able to effectively manage a high volume of calls while ensuring a positive experience for patients and visitors.

Essential Functions:

Answer incoming phone calls promptly and professionally, addressing patient inquiries and directing calls to the appropriate department or staff member.
Schedule patient office visits and surgical consultations in alignment with clinic protocols and provider availability.
Verify and update patient demographic and insurance information in the electronic medical record (EMR) system.
Provide patients with information regarding clinic policies, appointment preparation, and required documentation.
Coordinate with clinical staff to address urgent patient needs or scheduling conflicts.
Handle cancellation and rescheduling requests, ensuring efficient use of provider schedules.
Respond to voicemail messages and follow up with patients as needed.
Maintain a courteous and professional demeanor in all interactions with patients, families, and staff.
Assist with front-desk duties, including patient check-in, check-out, and collecting copayments, as needed.
Ensure patient privacy and compliance with HIPAA regulations.

Position Requirements

Education and/or Experience:

High school diploma or equivalent required.

Minimum of 1-2 years of experience in a medical office or customer service role, preferably in a specialty or surgical practice.

Experience with electronic health records, preferably with Epic.

Experience in a call center or other busy phone system, preferred.

Bilingual in English and Spanish, preferred and compensated.

Necessary Knowledge, Skills and Abilities:

Excellent verbal and written communication skills.
Strong organizational skills and the ability to multitask in a fast-paced environment.
Customer service orientation with a patient-centered approach.
Familiarity with medical terminology and insurance processes.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
Ability to handle sensitive information with discretion and professionalism.
Problem-solving skills to address scheduling conflicts and patient concerns.

Prolonged periods of sitting at a desk and working on a computer.

Occasional standing, walking, or lifting of office materials (up to 15 pounds).

Ability to use standard office equipment, including telephones, computers, and printers.
